POSITION: Finance - Grants and Invoicing Contractor

REPORTS TO: Co-Director

OFFICE LOCATION: Hybrid, with offices in Kent or Federal Way, WA

HOURS: Contractor 1099, This position requires approximately 10–20 hours per

week, with the potential to increase based on organizational needs, workload, and funding

availability.

SALARY RANGE: $31.25 - $40.00 per hour

OVERVIEW OF THE ROLE:

Mother Africa seeks an experienced Finance – Grants & Invoicing (Contractor) to support the financial management of grant-funded programs. This role is focused on financial oversight and analysis, including budget-to-actuals monitoring, program budget management, reimbursement-based invoicing, and accounts receivable tracking for publicly funded grants. Many of these contracts are reimbursement-based and include city, county, state, and federal pass-through awards. After onboarding, the Finance Contractor will own financial reporting and invoicing for their portfolio and will feel comfortable leading in the following roles and responsibilities:

Roles & Responsibilities

Partner with Program Managers on grant fund expenditures, ensuring grant funds are expended according to award terms
Manage regular invoicing schedules for multiple six-figure government contracts with varying levels of complexity
Prepare and maintain budget-to-actuals reports for grant-funded programs.
Analyze variances between approved budgets and actual expenditures.
Identify trends, risks, and underspending or overspending issues.Communicate findings and recommendations to leadership and program staff.
Contribute sound guidance and direction regarding organizational fiscal and financial management
Develop and implement practices to ensure smooth operations for independent annual audits and desk monitoring from funders
Develop donor relations database and metrics for donor behavior
Build and maintain strong internal and external relationships
Work closely and cooperatively with Deputy Director, bookkeepers and program managers
Monitor accounts receivable related to grant reimbursements.
Track outstanding invoices and expected payment dates.
Coordinate follow-up with funders on overdue payments.
Provide regular AR aging updates to leadership.
Maintain accurate financial records for each grant-funded program.
Reconcile invoiced amounts with accounting records and received payments.
Support financial reporting for leadership, funders, and auditors.
Assist with cash flow tracking related to grant reimbursements.
Other tasks as assigned

Ensure invoices:

Are accurate and complete
Align with approved budgets and reporting periods
Include required financial documentation

Required Skills & Qualifications

A minimum of 3-4 years of experience with nonprofit finance, grant-based accounting, and fiscal grants management of federal and non‐federal public sector grant funded programs.
Demonstrated experience with:
Budget-to-actuals analysis
Reimbursement-based invoicing
Accounts receivable monitoring
High attention to detail and strong analytical skills.

Preferred Skills & Qualifications

Bachelor's Degree in Business, Finance, Nonprofit Management or related field; or professional certification (CRA, CPA, or equivalent)
Experience building and maintaining strong relationships with internal and external stakeholders
Experience participating in government contract audits
Experience writing Federal Grants and budgets and/or managing them
Strong knowledge of reimbursement contract compliance
Strong administrative skills with the ability to set priorities and manage multiple tasks effectively and efficiently
Ability to communicate clearly and concisely
Proficiency with Google Suite products
Proficiency with Aplos software
Comfortability and familiarity with culturally rich environments; strong cultural awareness and appreciation
Experience living or working in an African country, or with African communities here and/or lived experience as an immigrant or refugee in the US
Proficiency in an African language

PHYSICAL DEMANDS:

To successfully perform the essential duties of this position, an individual must be able to sit at a desk for four or more hours per day.
