Marketing Administrative Assistant
Role Overview
We are seeking a Marketing Administrative Assistant to support in marketing and events coordination and administrative operations for the marketing department, with a focus on event and membership management. This role prioritizes administrative excellence while requiring strong interpersonal skills for event attendance and brand representation.
Key Responsibilities
Administrative Operations
- Execute administrative tasks for marketing, sales, and service departments
- Assist in print and digital marketing collateral development
- Process invoices, contracts, and vendor agreements
- Maintain organized filing systems and documentation
- Coordinate travel arrangements and event logistics
- Prepare reports, tracking, and budget reconciliation
- Support team lead as needed
Event Coordination
- Plan and execute marketing events, tradeshows, and brand activations
- Support admin and HR team with organizing internal events
- Handle stakeholder correspondence and scheduling
- Carry out marketing procurement needs and maintain inventory
- Attend events as brand ambassador supporting sales initiatives
- Oversee utilization of collateral and event equipment
- Conduct post-event analysis and reporting for ROI measurement
Membership Coordination
- Oversee membership programs and member engagement activities
- Maximize membership utilization and member benefits
- Maintain membership databases and communication records
- Process membership applications and renewals
Qualifications
- 2-3 years of experience providing event support
- Related degree in marketing/communications/sales
- Strong interpersonal and oral/written communication skills
- Strong presence and networking skills for representing the organization
- Strong organization and administrative skills
- Familiarity with budget tracking and coordinating with vendors
- Familiarity with marketing tools such as CRM, ESP, social media management
- Proficiency in Microsoft Office and Adobe Acrobat
- Graphic design, video editing, and web development skills are a bonus
Job Type: Full-time
Base Pay: $60,000.00 - $68,000.00 per year
