Reports To: Owner / Director of Operations
Schedule: Full-time | Monday–Friday, 8:30 AM – 5:00 PM (with flexibility for evenings or
weekends during special events or reporting deadlines)
Position Overview
The Executive Administrative Assistant provides high-level administrative and operational
support to the Owner and Director of Operations for Marek’s Collier House Restaurant and
Pub 1105. This individual plays a vital role in ensuring smooth communication between
departments, maintaining organization across two busy restaurants, and supporting
executive-level planning, accounting, HR, and guest relations. This is a key leadership
support position that requires professionalism, discretion, and a genuine commitment to
Southern hospitality.
Core Responsibilities
Daily Administrative Operations
- Arrive promptly by 8:30 AM to open the office, review the day’s priorities, and prepare
materials for meetings and reports.
- Maintain the Owner and Director of Operations’ calendars, coordinate internal and external
meetings, and ensure timely communication across departments.
- Review daily restaurant sales summaries, tip sheets, and shift notes; compile and distribute
recap reports to management.
- Handle correspondence, draft letters, and prepare documentation for licensing, compliance,
and vendor contracts.
- Manage electronic and hard-copy filing systems for HR, payroll, vendors, and financial
records.
- Oversee phone and email communication on behalf of ownership and management when
required.
Human Resources & Payroll Support
- Assist with new-hire onboarding, ensuring employment applications, W-4s, I-9s, and policy
acknowledgments are complete and filed correctly.• Maintain current employee records and confidentiality at all times.
- Collect and organize weekly payroll data, including tip declarations and time-off requests.
- Communicate payroll adjustments or corrections to Paychex and verify submission
deadlines.
- Track employee evaluations, anniversaries, and training compliance.
Accounting & Financial Coordination
- Support bookkeeping tasks including invoice entry, expense categorization, and
reconciliation with bank statements.
- Maintain accurate expense logs for Pub 1105 and The Collier House, ensuring proper
coding by department.
- Prepare weekly accounting packets for the Owner, including P&L; snapshots, accounts
payable, and credit card reports.
- Track and file receipts for company credit cards and reconcile vendor statements monthly.
- Assist with sales tax and license renewal filings under Naples Marketing Resources.
Vendor, Inventory, and Office Management
- Communicate with vendors for supply orders, deliveries, and billing inquiries.
- Maintain and organize vendor contact lists, contracts, and insurance certificates.
- Support kitchen and bar inventory reporting, working with Chef and GM teams to ensure
accuracy.
- Maintain office supplies, copier ink, stationery, and restaurant signage as needed.
Event & Marketing Support
- Coordinate logistics for private events, wine dinners, or special functions, including menus,
guest lists, and invoices.
- Assist with drafting event proposals, reservation forms, and confirmation letters.
- Liaise with marketing vendors and social media teams for promotions, photography
sessions, or printed collateral.
- Maintain organized event folders for both properties.
Guest Relations & Confidential Correspondence
- Handle guest correspondence professionally — including special requests, complaint
responses, and thank-you letters on behalf of ownership.• Maintain confidentiality and discretion with sensitive financial and personnel matters.
- Represent the restaurants with warmth, professionalism, and a sense of Southern hospitality
at all times.
Schedule & Work Environment
Hours: Monday–Friday, 8:30 AM – 5:00 PM (occasional evenings or weekends for major
events or reporting deadlines). Location: Administrative office shared between The Collier
House and Pub 1105, Marco Island. Must be available by phone during business hours for
urgent restaurant matters. Professional attire required (business casual or brand-approved
uniform).
Qualifications
Minimum 3–5 years of executive or administrative assistant experience, preferably in
hospitality, F&B;, or luxury service industries. Advanced proficiency in Microsoft Office,
Google Workspace, and Excel. Familiarity with restaurant systems such as Shift4,
MarketMan, Paychex, or OpenTable is a plus. Exceptional communication and organization
skills. Professional demeanor and team-oriented mindset required.

Competitive salary commensurate with experience. Paid time off after 90 days. Meal and
