About the Role:
Join our boutique luxury studio where style meets precision. We’re looking for a polished, proactive assistant who will support project operations—from ordering furniture and tracking deliveries, to scheduling site visits, managing vendor follow-ups, and assisting with client proposals. You’ll ensure our workflows are seamless so our principals can focus on design excellence.
Key Responsibilities:
- Manage calendar for meetings, site visits & deliveries.
- Place and track orders for furnishings, accessories and samples; follow up on lead times.
- Light bookkeeping: purchase orders, vendor invoices, expense tracking.
- Draft and assemble client proposal materials; support revisions and presentation.
- Maintain project files (digital + physical), sample boards, vendor contacts.
- Communicate with clients, vendors, trades with high professionalism and a white-glove service mindset.
- Assist with studio marketing/admin tasks (e.g., posting project updates) when needed.
What You Bring:
- 2+ years in an administrative role, ideally in interior design, architecture, or a creative/professional services environment.
- Excellent organization, strong attention to detail, ability to multitask across projects.
- Comfortable with scheduling tools, spreadsheets; familiarity with QuickBooks or similar is a plus.
- Excellent verbal and written communication; polished presentation suited to high-net-worth clientele.
- Resourceful self-starter: anticipates needs, takes initiative, follows through without heavy supervision.
- Passion for interiors, design, and delivering exceptional client service.
- Flexibility to occasionally attend on-site meetings or installations outside ‘standard’ hours.
