Role Overview
As our Finance & Operations Administrator, you’ll serve a key role in maintaining accurate financial records and ensuring our office and compliance operations run smoothly. You’ll work closely with the CEO and the sales/production team to keep the business organized, compliant, and operating at a high level.
Key Responsibilities
Financial & Bookkeeping
- Manage our books in QuickBooks Online: ensure accuracy of receipts, expense entries, job-coding, and account assignments.
- Research and resolve discrepancies in entries; liaise with department heads for clarification when needed.
- Process bank deposits, coordinate accounts payable (with the CEO) and generate daily/weekly financial summaries.
- Invoice recurring maintenance clients.
- Oversee accounts receivable: pull weekly AR reports, call late accounts, process payments.
Office Administration & Compliance
- Answer the main office phone, handle vendor and AP/AR inquiries, assist the Sales/Production Admin when unavailable (and vice-versa).
- Oversee office maintenance: equipment (computers, printers), supplies, utilities (heat, coffee), general upkeep.
- Manage compliance: HIC license, DOT/UCR registration, tax records, insurance policies (auto, liability, workers’ comp) and claims.
HR & Employee Administration
- Maintain employee records (I-9s, W-4s, etc.). Manage onboarding, layoffs, and assist with hiring and interviewing.
- Assist with insurance renewals and claims (auto, liability, workers’ comp).
- Work with the leadership team to ensure employee compliance and documentation are up to date.
What We’re Looking For
- 2+ years of bookkeeping or administrative experience (preferably in a small-business/trades environment).
- Strong proficiency in QuickBooks Online is required.
- Solid understanding of accounts payable, accounts receivable, invoicing, and financial reporting.
- Excellent organizational skills, attention to detail, and reliability.
- Strong communication skills: comfortable speaking with vendors, clients, team members.
- Ability to handle multiple priorities in a fast-paced environment; proactive mindset.
- Discretion and professionalism when handling confidential employee and financial data.
- Experience or familiarity with trades/landscaping/construction is a bonus.

Pay: $50,000.00 - $65,000.00 per year
