Summary:
As a Payroll Manger you play a significant role in managing all aspects of payroll, day-to-day payroll operations, payroll processing, multi-state tax and compliance, and regulatory compliance for the organization's, through our system of record, Workday. This role provides leadership and guidance to the payroll processing team, Tax Specialist and Payroll Accountant to ensure accurate processes and timely deliverables. The Payroll Manager ensures compliance with all federal and state regulations, initiates process improvements, and implements changes and updates as needed. Partners cross-functionally with HR, Compensation, Finance, Legal, Operations and IT teams to align payroll processes with broader business objectives. Ensure timely and accurate payment of 12,000+ team members across 41 states, in compliance with federal, state, and local tax agencies and labor laws.
Key responsibilities:
- Lead a team of payroll professionals, providing mentorship, training and support.
- Maintain payroll procedures and systems to ensure compliance with regulations including minimum wage, paid leave, and paid time off (vacation, holiday, sick, etc.).
- Monitor payroll compliance including Section 404 requirements, garnishments, paid leave accruals, FLSA, and DOL regulations.
- Collaborate with federal and state agencies, external vendors, auditors, and internal stakeholders to ensure consistency and explore system enhancements.
- Leads initiatives to improve the Team Member compensation experience such as: program implementations relating to pay card, earned wage access, process improvements, field communication, etc.
- Maintains an audit-driven approach to payroll operations, ensuring all processes, reconciliations, and filings are accurate, compliant, and fully committed to support internal and external audits.
- Develop and deliver reporting metrics and analysis related to payroll functions.
- Lead year-end planning and execution for payroll.
- Partners with IT to implement system configurations, optimize existing processes, and drive continuous improvement in payroll and related business processes.
- Supports and collaborates with Payroll Accountant to review entries, resolve discrepancies, to ensure accurate financial records.
- Supports and collaborates with Tax Specialist to ensure proper tax set up, accurate and timely completion of quarter-end tax filings, and thorough reconciliation of quarter-end variances.
- Manages unclaimed property processes in accordance with state regulations, including identifying, reporting, and remitting escheated payroll-related funds as required.
- Performs monthly reconciliations to ensure accuracy and alignment with general ledger accounts.
Key Knowledge, Skills and Abilities:
- Bachelor’s degree in Finance, Accounting, or equivalent experience.
- 5+ years of experience as a Payroll Manager or higher in large organizations.
- Proven experience with multi-state, multi-unit payroll and tax compliance.
- Extensive knowledge of garnishment processing.
- Proficiency in Microsoft Office; Workday Payroll experience
- Project management experience is a plus.
- Certified Payroll Professional (CPP) designation preferred.
