Summary
We're seeking a highly motivated and organized Marketing Coordinator to join our team. This is an excellent opportunity for someone eager to grow quickly in their marketing career and gain broad, hands-on experience across projects, social content, and marketing operations. This role includes executive support responsibilities (25%) alongside marketing project coordination and lead management (75%).
This position will support our Marketing team. It is eligible to work a hybrid schedule generally requiring 2-3 days per week in-office or at show site, based out of Philadelphia, PA or surrounding regions.
Essential Duties & Responsibilities
Executive Support (25%)
- Manage calendar scheduling, travel, and expense reporting for department leadership.
- Assist with coordinating meetings, team events, and offsites.
- Prepare agendas, notes, and follow-up actions for key meetings.
- Support day-to-day operational needs to ensure the team runs efficiently.
Project Management & Marketing Operations (75%)
Project Management
- Oversee the team's project management workflow in Monday.com, ensuring alignment with Freeman's mirrored system.
- Monitor the Marketing Project Intake Form and coordinate kickoff calls, project checkpoints, and deliverable tracking.
- Support the organization and management of shared drive content to improve accessibility, structure, and efficiency.
- Act as a central point of coordination for cross-functional initiatives and special marketing projects.
Marketing Budget
- Manage invoicing, reconciliation, and budget tracking processes for the Marketing team.
- Track and code all marketing department expenses in the central budget tracker.
- Flag budget risks or high job costs early and collaborate with leadership to manage spend.
Lead Management
- Maintain the Marketing Salesforce Queue, qualifying and routing leads promptly to Sales.
- Serve as liaison between Sparks, Freeman, 3D, and EMEA teams for lead sharing and data accuracy.
- Support periodic reporting and quality assurance for lead pipeline management.
Social & Content Support
- Assist with scheduling and posting content across company social channels.
- Support copy drafting and asset coordination for internal and external campaigns.
- Track engagement metrics and coordinate with the team on optimization opportunities.
Education & Experience
- 1-3 years of experience in marketing coordination, project management, or executive support.
- Proficient in Monday.com, Salesforce, and Microsoft 365 or Google Workspace.
- Organized, detail-oriented, and comfortable managing multiple priorities.
- Excellent communication skills and strong follow-through.
- Prior agency experience or familiarity with creative marketing workflows a plus.
- Extremely driven, eager to learn, and ready to take on new challenges.
- Organized and detail-oriented, with a strong ability to multitask and prioritize.
- Comfortable working in fast-paced environments with cross-functional teams.
