Our marketing organization spans paid media, CRM, web, creative, product, clinical, and legal. That complexity requires strong operators who can bring order, foresight, and discipline to how work gets done.
The Role
This is a marketing operations and program coordination role, not a hands-on performance marketing position.
The Marketing Operations & Program Coordinator exists to create leverage for the Marketing Operations Manager and senior leadership by owning planning, coordination, documentation, and execution readiness across the entire marketing organization.

What You’ll Own
Marketing Planning & Calendar Management
- Own and maintain the master marketing calendar across all channels (paid, email, web, product, partnerships).
- Ensure all campaigns, promotions, and launches are planned months in advance with clear milestones, owners, and dependencies.
- Partner with marketing leadership to translate annual and quarterly priorities into executable plans.
- Identify timeline risks early and proactively resolve bottlenecks.
Program & Project Coordination
- Act as the operational quarterback for marketing initiatives—from intake through launch.
- Manage cross-functional workflows involving Creative, Legal, Clinical, Product, Engineering, CRM, and Media.
- Ensure all creative requests, campaign briefs, and promotional plans are properly scoped, tracked, and approved.
- Keep work moving forward without leadership needing to chase updates.
Promotions & Launch Operations
- Coordinate all promotional campaigns end-to-end, including:
- Offer documentation
- Promo code creation
- Asset requests and approvals
- Channel readiness across web, email, paid media, and CRM
- Ensure promotions are clearly documented and communicated to all stakeholders.
- Serve as the operational hub during launches, ensuring nothing falls through the cracks.
Process, Workflow & Documentation
- Own day-to-day operation of Monday.com for the marketing team.
- Build, maintain, and continuously improve workflows that increase visibility, accountability, and speed.
- Maintain clear SOPs, process docs, and templates in Notion.
- Help move the organization from reactive execution to predictable delivery.
Compliance & Quality Control
- Partner closely with Legal and Clinical teams to ensure marketing materials meet healthcare advertising and compliance standards.
- Perform first-pass reviews to confirm required disclaimers, claims, and approvals are in place before launch.
- Ensure final, approved versions are used across all channels.
What You Will Not Be Doing
- Trafficking ads in Meta, Google, TikTok, Snap, etc.
- Owning daily media optimization or bid management
- Acting as a junior growth marketer
- You will collaborate with growth and media teams—but your role is coordination and readiness, not execution inside ad platforms.

Qualifications
Required
- 2–4 years of experience in marketing operations, program coordination, or project management
- Proven ability to manage complex, cross-functional initiatives
- Strong organizational, documentation, and communication skills
- Experience working in tools like Monday.com, Asana, Jira, or similar PM platforms
- Comfort operating in regulated or compliance-heavy environments
- Ability to manage multiple workstreams without dropping details
Nice to Have (Not Required)
- Familiarity with performance marketing concepts and metrics
- Exposure to CRM, email marketing, or lifecycle campaigns
- Experience supporting high-growth or multi-channel marketing teams
- Experience in healthcare, telehealth, or other regulated industries
