We are seeking a highly organized, detail-oriented Administrative Coordinator to support our showroom and remodeling operations. This role is ideal for someone who thrives in a fast-paced environment, enjoys managing details, and takes pride in keeping projects and processes running smoothly.
This position works directly in support of our Showroom Manager and ownership team, playing a key role in coordinating projects, managing documentation, and ensuring an exceptional client experience.
While this is primarily an administrative and coordination role, there is an opportunity over time to learn estimating, product selections, and the fundamentals of kitchen and bath design for candidates interested in expanding their skill set.

Position Details
- Schedule: Monday to Friday, 8-hour day shifts
- Location: In-person at our showroom in Jensen Beach, FL
- Travel: Occasional local travel for deliveries or site visits
Key Responsibilities
Administrative & Project Coordination (Primary Focus)
- Maintain QuickBooks records for invoices, expenses, and payments
- Track and record all project-related expenses
- Maintain organized client files, including scope of work and material selections
- Prepare and follow up on invoices and client payments
- Submit permit applications as required
- Ensure all project documentation is accurate and up to date
- Support owners in maintaining organized and consistent records
Order Management & Materials Tracking
- Place and track orders for materials and products
- Monitor delivery timelines to ensure projects stay on schedule
- Communicate order updates with clients and team members
- Resolve order discrepancies or delivery issues
- Track materials and supplies across active projects
Client Communication & Support
- Communicate professionally with clients regarding schedules and updates
- Respond to inquiries in a timely and organized manner
- Coordinate between clients, vendors, and internal team members
Showroom & Team Support
- Maintain showroom organization and presentation
- Assist with general office operations (email, calls, scheduling)
- Support the Showroom Manager with day-to-day activities
Exposure to Estimating & Design (Growth Opportunity)
- Assist the Showroom Manager in preparing estimates and scopes of work
- Support product selections and material coordination
- Learn pricing, materials, and project planning over time
Qualifications
Required
- Strong administrative and organizational skills
- High attention to detail and accuracy
- Excellent communication and customer service skills
- Ability to manage multiple tasks in a fast-paced environment
- Proficiency with Microsoft Office (Word, Excel, Outlook)
Preferred
- Experience with QuickBooks or similar accounting software
- Experience in construction, remodeling, or a related industry
- Experience coordinating projects, orders, or client accounts
- Familiarity with estimating, materials, or design concepts (a plus, not required)
- Spanish speaking is a plus

- Professional demeanor and strong work ethic
- Valid driver’s license and ability to travel locally
