Role Description
The Proposal Specialist is a full-time, on-site position at Dokken in Folsom, CA, responsible for supporting the creation, coordination, and submission of high-quality proposals, qualifications, and marketing materials in response to RFPs and RFQs.
This role collaborates closely with Project Managers, technical staff, and subject matter experts to gather, organize, and refine content, while actively engaging internal stakeholders to track deliverables and meet deadlines. The Proposal Specialist oversees proposal efforts from kickoff to submission, including scheduling, document assembly, and production.
The Proposal Specialist maintains strong attention to detail while reviewing and editing materials for message clarity and impact, formatting consistency, compliance with the proposal requirements, and alignment to brand standards. Additionally, this role contributes to creating visually compelling graphics and layouts that enhance the quality and readability of proposals.
Qualifications:
· 2–3 years of proposal development experience within the A/E/C industry.
· Advanced proficiency in Microsoft Office (Word, PowerPoint, and Outlook)
· Proficient in creative software platforms, such as Adobe Creative Cloud and Canva. Ability to learn and navigate software platforms that house projects and prior proposal information.
· Ability to prioritize multiple tasks amid changing needs and demands and maintain consistent attention to detail.
· Excellent written and verbal communication skills, with the ability to collaborate effectively across diverse, cross-functional teams.
· Strong writing, proofreading, and editing abilities, with a keen eye for detail in both content and layout.
· Highly organized with the ability to manage multiple priorities simultaneously while meeting strict deadlines.
· Demonstrated ability to take ownership of proposals, interpret RFP/Q requirements, and develop a clear, strategic response plan.
· Experience coordinating and preparing compliant, high-quality proposals and qualifications packages.
· Ability to schedule, facilitate, and support proposal kickoff meetings and ongoing coordination efforts.
· Proven experience working with Project Managers and technical staff to develop key proposal components, including project understanding, approach, scope, schedule, and fee support.
· A self-starter with the ability to work with minimal direction and supervision.
· Strong time management skills with the ability to track and meet both internal and external deadlines.
· Proficiency in reviewing and editing proposals for grammar, consistency, compliance, and overall quality.
· Experience supporting proposal production, including printing, assembly, and final delivery.
· Ability to support interview client preparation efforts, including presentations, exhibit boards, and leave-behind materials.
· Preferred Traits/Abilities
· Bachelor’s degree in communications, Journalism, English, Marketing, or related field.
· Experience coordinating with subconsultants to gather required materials and ensure timely, compliant submissions.
· Familiarity with maintaining marketing databases and updating boilerplate materials and templates.
· Experience maintaining and organizing marketing resources, including resumes, project descriptions, and proposal content libraries.
FLSA Status: Hourly
Pay Rate: $29.00 to $35.00
