Project Management Support Specialist Position Summary
We are seeking a highly organized and proactive Project Management Support Specialist to assist with the planning, coordination, and execution of projects from initiation through completion. This role will support Project Managers and business leaders by coordinating project activities, monitoring timelines, tracking deliverables, and ensuring projects remain on schedule and within scope.
This will have the possibilities of being a hybrid position with possibilities of travel between Modesto and Manteca

Key Responsibilities
- Provide administrative and operational support for multiple projects from initiation through closeout.
- Assist with developing and maintaining project plans, schedules, milestones, and deliverables.
- Coordinate meetings, prepare agendas, document meeting minutes, and track action items.
- Monitor project progress, identify potential risks or issues, and escalate concerns as appropriate.
- Track project budgets, expenses, invoices, and resource utilization.
- Support project documentation, reporting, and status updates for leadership and stakeholders.
- Coordinate activities between internal departments, vendors, and project teams to ensure timely completion of project objectives.
- Assist with change management activities, including implementation planning, communication, and user adoption efforts.
- Maintain project files, documentation, and reporting tools to ensure data accuracy and compliance with organizational standards.
- Support vendor coordination, contract administration, and service level agreement (SLA) tracking.
- Assist with department KPI reporting and operational performance metrics.
- Identify opportunities for process improvements and contribute to continuous improvement initiatives.
Qualifications
- Bachelor's degree preferred or equivalent combination of education and experience.
- 2–5 years of project coordination, project support, administrative, or operations experience.
- Experience supporting multiple projects simultaneously in a fast-paced environment.
- Strong organizational and time management skills with exceptional attention to detail.
- Excellent written and verbal communication skills.
- Ability to prioritize competing deadlines while maintaining accuracy.
- Strong customer service and stakeholder management skills.
- Experience preparing reports, presentations, and project documentation.
Preferred Skills
- Knowledge of project management methodologies and project lifecycle principles.
- Experience with Microsoft Office Suite, including Excel, Word, Outlook, PowerPoint, and Teams.
- Experience using project management tools such as Microsoft Project, Smartsheet, Asana, Monday.com, Jira, or similar platforms.
- Familiarity with budgeting, resource planning, and project financial tracking.
- Experience working with vendors and coordinating cross-functional teams.
- Healthcare industry experience is a plus.
