Position Summary: This is a full-time, on-site role for an Executive Assistant to the Co-Head of Marketing, located in Santa Monica, CA. This individual will provide high-level administrative and operational support to the Head of Marketing while helping manage the day-to-day priorities of a fast-paced theatrical marketing department. The ideal candidate is exceptionally organized, proactive, detail-oriented, and thrives in a dynamic, entrepreneurial environment where priorities shift quickly. Further functions include, but are not limited to, the key responsibilities listed below.
Key Responsibilities:
• Provide administrative support to the Head of Marketing, including calendar management, scheduling meetings, coordinating travel, and processing expense reports.
• Serve as the primary point of contact for internal and external communications on behalf of the Head of Marketing.
• Coordinate department meetings, agendas, presentation materials, note-taking, and follow-up action items.
• Assist in managing the marketing department's workflow, timelines, and key deliverables across multiple theatrical campaigns.
• Track campaign milestones, release schedules, important dates, and executive priorities.
• Assist with preparing presentations, reports, campaign documents, and meeting materials for internal leadership, filmmakers, distributors, and external partners.
• Maintain organized digital filing systems, marketing assets, vendor information, and departmental documentation.
• Coordinate with internal teams including Creative Advertising, Media, Publicity, Distribution, Sales, Production, Finance, Legal, and Business Affairs to facilitate cross-functional communication.
• Help onboard new vendors, process invoices, track purchase orders, and assist with departmental budgeting and administrative workflows.
• Manage confidential information with the utmost discretion and professionalism.
• Anticipate the needs of the Head of Marketing and proactively solve problems before they arise.
• Assist with special projects, research assignments, and other duties as assigned.
Requirements:
• 1+ years of experience as an Executive Assistant, Administrative Assistant, or Coordinator supporting senior executives, preferably within a studio, production company, entertainment agency, or media organization.
• Strong research skills and interest in the film, entertainment, and media landscape.
• Demonstrated ability to prioritize competing demands, adapt to changing circumstances, and manage multiple deadlines in a fast-paced environment.
• Proactive and solution-oriented work ethic
• Self-starter with strong organizational skills
• Excellent interpersonal and communication skills
• Discretion. Can be trusted to maintain confidential and sensitive information and to exercise good judgment
• Confidence in asking questions and quickly moving to action
• Willingness to tackle matters outside area of expertise
• Proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, and Word)
• Experience with Adobe Creative Cloud (including Photoshop, Illustrator, or InDesign) is a plus, but not required.
Salary Range:
$70,000 - $72,000 per year

Co-Head of Marketing
The actual base salary offered depends on a variety of factors, which may include, as applicable, the qualifications of the individual applicant for the position, years of relevant experience, specific and unique skills, level of education attained, and certifications or other professional licenses held.
