Role Description
This is a full-time on-site role for an Administrative Office Assistant at Rancher Hat Bar in Scottsdale, Arizona. The Administrative Office Assistant will be responsible for providing administrative support, managing phone communications, displaying excellent phone etiquette, managing a busy calendar, and utilizing clerical skills. Additionally, the role will involve effective communication with the upper management team and owners.
What You'll Do
- Book in-store reservations for all 18+ locations
- Assist management team with administrative tasks
- Ensure booking is done correctly and across all calendars
- Handling incoming and outgoing mail and packages
- Maintaining office supplies inventory and placing orders as needed
- Ensuring the office remains clean, organized, and well-functioning
- Provide daily administrative and office support to Ownership, Leadership, and company departments.
- Manage general office organization and ensure the corporate office remains clean, organized, and operational.
- Answer, monitor, and route company emails and phone calls as needed.
- Organize and maintain company documents, digital files, records, and spreadsheets.
- Create and update spreadsheets, trackers, reports, and internal documents.
- Order office supplies and monitor office inventory.
- Receive, organize, and distribute mail, packages, and company deliveries.
- Assist with scheduling meetings, appointments, and company-related tasks.
- Assist with data entry and maintaining accurate company records.
- Prepare, scan, upload, file, and organize company documents.
- Assist with employee paperwork and administrative documentation as directed.
- Communicate with vendors, stores, employees, and department leaders as needed.
- Follow up on outstanding tasks, documents, and requests.
- Assist with company projects and ensure assigned tasks are completed by established deadlines.
- Support new store openings, company expansion, and operational projects.
- Assist with coordinating travel, meetings, and company events when needed.
- Maintain confidentiality regarding employee, financial, operational, and company information.
- Provide cross-department administrative support where needed.
- Identify office needs and proactively assist with resolving administrative issues.
- Complete additional administrative, office, and operational duties as assigned by Ownership or Leadership.
Qualifications
- Strong Phone Etiquette and Communication skills
- Attention to detail and organizational skills
- Ability to multitask and prioritize tasks effectively
- Proficiency in G-Suite (Sheets, Calendar, Gmail)
- Must work in office 5 days a week
