Position Overview

We’re seeking a highly detail-oriented and proactive Finance Coordinator to own and manage the organization’s day-to-day financial operations end-to-end. This role is critical to maintaining financial accuracy, optimizing cash flow, and ensuring a seamless billing experience for members, clients, and vendors.

The ideal candidate thrives in a fast-paced environment, is exceptionally organized, and takes full ownership of billing, reconciliation, collections, and reporting processes. You’ll work closely with the CEO, serving as a key partner in financial visibility and operational decision-making.

Key Responsibilities:

Manage all credit card and payment records, including updates, replacements, and troubleshooting payment issues
Serve as the primary point of contact for member billing inquiries, resolving discrepancies with clarity and professionalism
Review and process vendor invoices (coaches, contractors, service providers), ensuring accuracy and CEO approval
Perform detailed audits of monthly vendor invoices, verifying hours, deliverables, and agreed-upon rates
Own the full subscription reconciliation process and reporting, including identifying new accounts, cancellations, pauses, and discrepancies
Track and manage billing for all paid events (webinars, workshops, specialty programs)
Submit delinquent accounts to the collections agency with complete and accurate documentation
Escalate billing, payment, and collections decisions for approval, ensuring compliance with internal controls

Qualifications

2+ years of experience in billing, financial operations, or accounts receivable
Experience with CRM and payment platforms (Keap/Infusionsoft strongly preferred)
Exceptional attention to detail with strong reconciliation and analytical skills
Ability to manage multiple financial workflows simultaneously with high accuracy
High level of discretion and comfort handling sensitive financial information
Strong written communication skills for member and vendor interactions
Proven ability to follow structured processes and escalate decisions appropriately
