Summary
Job Description
The Human Resources Coordinator will perform administrative duties related to the operations of the human resource office in areas including but not limited to, general HR support and file maintenance, recruitment, onboarding, compliance, and benefits administration. The HR Coordinator is the first point of contact for new applicants as well as employees and visitors doing business in the HR Office.
Responsibilities
- Supports employment processes by processing background screenings, employment documents, asset provisioning, and asset deprovisioning.
- Provides recruitment support as needed to Executive HR Director and HR Generalist
- Processes required paperwork for employee transfers, changes in job classification, salary increases, and other related employment matters.
- Coordinates benefits approvals for new hires and employee benefit changes and processes appropriate personal action notices (PAN's) with payroll
- Compiles, updates, and maintains employee records ensuring that filing is accurate and required documents are up to date.
- Ensures compliance with USCIS Form I-9 Employment Eligibility Verification and maintains ongoing audit and compliance.
- Administers the tuition remission process and program for Immaculata and assists in tuition exchange applications for employees. Initiates approval process, conducts tracking and follow-up, and communicates outcome to employee.
- Coordinates employee recognition, holiday social, wellness events, and other HR related events / meetings
- Conducts new hire orientations and onboarding sessions with staff and faculty.
- Coordinates the preparation of human resource reports such as attendance, new hire, and turnover reports. Provides assistance with other ad-hoc reporting
- Performs periodic audits of Human Resources files and records to ensure all required documents are collected and filed appropriately.
- Manages the Human Resources email box. Responds to general inquiries and forwards messages that require higher level action to Human Resources Generalist or Director.
- Processes employment verifications and PSLF loan applications.
- Answers frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc.;
- Receives and distributes office mail.
- Provides administrative support to HR Generalist on leaves of absences / FMLA / ADA requests
- Provides administrative support to HR generalist and Director as needed.
- Maintains and orders general office supplies and ensures supply of employee support materials are available. Provides cross training in duties areas, maintains and updates HR procedural and process documentation.
- Provides support, research and interpretation on policies and policy procedure revisions as needed.
- Performs other related duties as assigned.

Requirements
Minimum Requirements
- Bachelor's degree in Human Resources or related field.
- 2-3 years of human resources administration experience.
- Proficient in Microsoft Office Suite, Adobe, and MS Teams.
- Ability to maintain confidential information and follow all applicable employment laws.
- Customer service orientation is essential for this role.
- Excellent written and verbal communication skills.
- Knowledge of HR and Payroll related information systems (i.e., ADP) preferred.
- Benefits administration experience preferred
- Prior experience working in a university setting preferred
- Ability to sit at a desk and work on a computer for prolonged periods.
