The Wholesale Assistant will play a key role in supporting daily sales activities and ensuring seamless collaboration between the sales team, buyers, and retail partners. This role is responsible for maintaining accuracy in order management, preparing marketing materials, tracking promotions, and ensuring best-in-class service to strengthen customer relationships.
Responsibilities
Key Responsibilities
Order & Operations Coordination
- Partner with Operations to track order status, shipping timelines, and resolve fulfillment issues
- Communicate order updates, tracking, and delivery confirmations to accounts
- Follow up with Operations on PO discrepancies, SKU changes, and shortages/overages.
Customer Setup & Product Data
- Manage item setup and maintenance in customer systems (GXS catalog, PIM, portals) and internal databases
- Ensure accuracy of product data (pricing, UPCs, pack sizes, images).
Market & Sales Preparation
- Support in sample management, line sheet creation, and product deck development for market presentations
- Compile assets and product copy for customer submissions prior to launch.
Vendor & Fixture Coordination
- Work with vendors to develop and produce in-store fixtures and displays
- Coordinate timelines, artwork approvals, and delivery schedules
- Track progress and follow up to ensure on-time execution.
Data & Reporting
- Pull weekly selling data from retailer portals/platforms
- Prepare and distribute weekly/monthly sales performance reports.
Account & Buyer Support
- Respond to buyer requests in a timely and professional manner
- Maintain ongoing communication with accounts to ensure smooth execution of programs and promotions.
Project & Promotion Support
- Assist with maintaining promotion calendars and tracking campaign execution
- Help coordinate timelines for new product launches, exclusives, and retailer programs.
Ad Hoc Projects
- Provide support on additional wholesale projects and initiatives as needed.
Qualifications
Education: Bachelor’s degree in Business, Marketing, or related field preferred.
Experience:
- Minimum 2 years of experience in wholesale, sales operations, or account support within retail, fashion, beauty, or consumer goods
- Experience working cross-functionally with operations, vendors, and external partners preferred
Skills:
- Proficiency in Microsoft Office Suite (Excel, PowerPoint, Outlook) and Google Workspace
- Strong organizational and time management skills with the ability to juggle multiple priorities
- Excellent presentation skills; comfortable engaging and presenting to buyers and internal leadership teams
- Strong written and verbal communication skills, with attention to detail
- Proactive problem-solver who takes initiative and follows through
- Ability to build and maintain strong relationships with both internal teams and external partners (buyers, vendors, and agencies)
