POSITION TITLE: PORT OPERATIONS COORDINATOR
POSITION OVERVIEW: This position will anticipate and provide a broad range of administrative support to ensure that all regional operations are in an effective, up to date and accurate manner. This includes but not limited to: assistance with employee training, financial processes, invoicing, compiling audit data and monitor maintenance and repair of North America.
Job Responsibilities
- Track, complete and submit documentation for vehicle registrations and titles for plates.
- Sort and distribute incoming mail.
- Responsible to manage equipment inventory reports.
- Manage US Accidents and procedures.
- Utilize tracking systems to ensure all pieces of equipment are recorded.
- Manage license and registrations for all equipment; ensure all license/registrations are current.
- Manage all open PO's for NA Port, M&R and OTR M&R billing.
- JDE Super user and trainer.
- Regional M&R OOS.
- Responsible for M&R dashboards/reporting.
- Assist with budget as required.
- Responsible for tracking all equipment transfers in and out of North America.
- Manage / record annual accruals and physical inventory.
- Manage, monitor and report Standard Time System/ JDE.
- Provide back-up support to other team members and Port areas or miscellaneous assignments for efficient Port and M&R Operations.
Job Requirements
- Minimum 1-2 years' experience in administrative or multi-level support role.
- High School diploma required; Bachelor's degree preferred.
- Able to multitask and work in a fast paced environment.
- Excellent PC skills. Proficiency in Microsoft Word, Excel, and PowerPoint a must.
- Adaptable and proactive.
- Must be able to meet department goals with little direction, able to anticipate and make needed adjustments to schedules, meeting arrangements, travel arrangements, etc.
- Strong organization, planning, and time management skills.
- Ability to work under pressure; maintain problem-solving attitude.
- Ability to manage financial processes, strong analytical ability.
- Ability to define priorities and to handle multiple tasks and projects.
- Strong written and verbal communication skills.
PHYSICAL ENVIRONMENT
- Most work is performed in a temperature-controlled office environment.
- Incumbent may sit for long periods of time at desk or computer terminal.
- Incumbent may use calculators, keyboards, telephone, and other office equipment in the course of normal workday.
- Stooping, bending, twisting, and reaching may be required in completion of job duties
