ADMINISTRATIVE ASSISTANT (On-Site)
This role involves minor bookkeeping activities, accounts payable (AP) and accounts receivable (AR) coordination, invoicing, customer portal management, and assists the Finance Leadership team.. Successful candidates for this position will possess interpersonal skills, attention to detail, organizational skills, time management, technical proficiency, and team collaboration.
Essential Duties and Responsibilities
Accounts Payable & Receivable Support
- Process supplier invoices and employee expense claims
- Reconcile incoming payments with outstanding invoices
- Track and follow up on overdue accounts
- Process client charge card transactions and send receipts to clients
Data Entry & Record Keeping
- Accurately input financial transactions into QuickBooks
- Assist with filing and archiving financial documents
Client Database/Portal Management
- Maintain the client database and client portals with set-ups, updates, and invoicing information
- Communicate professionally with clients regarding portal issues or updates
Invoice Generation & Distribution
- Create and oversee daily invoicing process as submitted by project managers, submit to clients for payment, and oversee past due invoices for escalation to management
- Ensure timely distribution and record client payments
Administrative Tasks
- Assist with meeting coordination, merchandise and office supply ordering, and annual seminar
- Support finance team with ad-hoc tasks, reporting, or analysis as requested
Qualifications, Skills, and Abilities
- Ability to follow standardized processes and work independently, with minimal supervision
- Professional verbal and written business communication, both internally and externally
- Familiarity with finance and/or accounting principles
- Working knowledge of Microsoft Office suite, and introductory use of accounting software, QuickBooks preferred
- Ability to enter financial data accurately and review transactions for errors
- Capable of managing multiple tasks, meeting deadlines, and prioritizing routine responsibilities
- Ability to exercise discretion and uphold confidentiality with sensitive financial and employee data
Education and Experience
- One year certificate in finance or accounting from a college or technical school; or at least one year related experience and/or training; or equivalent combination of education and experience
- One or more years of multi-line switchboard operation or reception experience

TEN-E Company Overview
In 1980, the founder of TEN-E Packaging Services, Inc. anticipated changes coming to governmental standards on the requirements for transporting hazardous material packages related to the chemical industry. The business started in 1989 with revenue of $300,000 the first year. After 35 years in business, the company owns and operates testing laboratories in three locations; Newport MN, Ontario CA, and High Point NC with annual revenue of $8-10 million. The current team of just over 50 employees conducts package and product tests for the chemical, medical, pharmaceutical, food and beverage, cosmetic and electronic industries. TEN-E not only tests for companies in the US but also has several international customers. Companies that want to ship their products from Point A to Point B without damage simulate that process at TEN-E and solve issues early.
In 2009, the partners started an ESOP (Employee Stock Option Plan) and sold 1/3 of the business to the employees as pension contributions. In 2021, the last 2/3 of the stock was sold and the company is now 100% owned by the employees. The founding partners knew what an effective team they had built and what better way to continue the prosperity of the business than to leave it in the capable hands of the employees.
