Position Summary:
The Entry-Level Consultant will provide program management and analytical support services to the U.S. Coast Guard Base National Capital Region (NCR). This role involves assisting with project coordination, communication management, meeting facilitation, documentation, and performance measurement. The consultant will work closely with stakeholders to ensure the efficient execution of tasks, maintain deliverables, and support organizational goals.
Key Responsibilities:
- Program Management Support:
- Assist in program coordination and tracking high-priority projects.
- Support business process improvement analysis and research.
- Maintain project documentation and provide recommendations for process improvements.
- Meeting Management Support:
- Prepare agendas, attend meetings, and record action items.
- Draft meeting minutes and distribute them to attendees within required timelines.
- Support the organization and execution of working group sessions.
- Communication Management Support:
- Assist in developing strategic communication plans and stakeholder engagement strategies.
- Create and update communication tools, including newsletters, briefings, and fact sheets.
- Support outreach efforts to educate Coast Guard audiences on new initiatives.
- Risk Management Support:
- Conduct risk analyses for selected projects.
- Document risks, mitigation strategies, and scoring in risk management tools.
- Prepare briefing packages and presentations detailing risk areas.
- Documentation and Reporting:
- Research and draft monthly progress reports, white papers, and technical analyses.
- Update project plans and consolidate deliverables for supported projects.
- Maintain correspondence tracking logs and create workflow diagrams as needed.
- Administrative and Tool Support:
- Facilitate collaboration tools for project management and data tracking.
- Design repository frameworks for documentation and information management.
- Develop user guides and training materials for Coast Guard enterprise tools.
Qualifications:
- MUST BE US CITIZEN
- Education: Bachelor’s Degree
- Experience: 1-3 years of relevant experience in project coordination, administrative support, or communication management (internships or academic projects may count).
- Skills:
- Must have PowerApps, PowerAutomate, or the ability to quickly learn and adapt to new systems, with demonstrated capability to do so.
- Strong organizational and analytical skills.
- Detail-oriented with the ability to manage multiple tasks simultaneously.
- Excellent written and verbal communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, SharePoint).
- Ability to learn and use project management tools
Preferred Qualifications:
- Familiarity with risk management, strategic planning, or performance measurement.
- Certification in project management (e.g., CAPM or PMP) is a plus but not required.
