Job Overview
We are seeking a detail-oriented and proactive individual to join our team as a Finance & Office Operations Assistant. This role combines financial administration with general office support, ensuring accurate financial record-keeping and smooth day-to-day operations for our office location in Harrison OH as well as our production facility in Shelbyville KY. This is a great opportunity for someone who enjoys a mix of accounting and general office support in a friendly, team-oriented environment.
Key Responsibilities
Accounting Support:
- Process day-to-day financial operations, including accounts payable and receivable. Scanning and entering invoice data into the company’s SAP system.
- Match purchase orders with invoices and resolve discrepancies by working with internal purchase or project departments as needed.
- Prepare and initiate payments to vendors by payment method ACH, Wire or Check.
- Upload receipts and Reconcile credit card statements.
- Manage state tax certificates for projects as needed along with maintaining all state/local/contractor licenses for new licenses & renewals based on project needs.
- Support month-end and year-end financial reporting. Assist filing yearly tax returns.
- Maintain accurate financial documentation and filing systems
- Potential for development into a more specialized financial accounting position for our US operations.
Office Operations Support:
- Manage incoming/outgoing mail, packages, and office supplies inventory.
- Plan and help coordinate company lunches, meetings and events for foreign colleagues traveling to the US office including travel arrangements as needed.
- Support the Installation department on project site setup by arranging office trailers, equipment, insurance documents etc.
- Support other administrative tasks as assigned by the Office/HR Manager.
- Jump in where needed – we’re a team that helps each other out!
Qualifications
Minimum Requirements:
- Associate’s degree in Accounting, Business, Finance, or a related field (or equivalent experience).
- 1-3 years of experience in Accounts Payable, Accounting Clerk or Administrative roles.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
- Strong attention to detail, accuracy, and confidentiality.
- Familiarity with SAP or similar ERP systems is a plus.
- Ability to manage multiple tasks and prioritize effectively.
- Good communication skills, positive attitude and team oriented.
Schedule & Work Arrangement:
This is a part-time to full-time position, depending on the candidate’s experience and availability. The role is on-site, Monday through Thursday, between 8:00-5:00 PM, for approximately 24–32 hours per week. There is potential to increase to 40 hours per week based on business needs and candidate fit. A hybrid work arrangement may be considered in the future after training period. (Health Benefits only give at full time 32-hour status).
