We’re expanding and looking for a Project Coordinator / Permit Administrator who’s organized, proactive, and detail-driven to help manage our growing workload and client portfolio.
Position Overview
This role is ideal for someone who enjoys managing details, keeping projects organized, and helping clients feel informed every step of the way. You’ll be responsible for tracking permit applications, communicating with city departments, and keeping our clients updated through our internal project management system.
You’ll work directly with the Owner and our small, dedicated team to ensure permits move smoothly and clients always feel taken care of.
Key Responsibilities
- Coordinate and manage multiple active permit projects across South Florida jurisdictions.
- Daily check-ins with municipalities to keep permits moving forward.
- Following up on outstanding items or comments
- Update project tracking software daily with accurate statuses, notes, and next steps.
- Communicate professionally with city reviewers, building departments, and clients to provide timely updates.
- Review applications and documentation for accuracy before submittal.
- Support in preparing municipal forms, uploading files, and maintaining digital records.
- Send weekly progress updates to clients using established templates.
- Assist with project closeout, impact fee coordination, and document follow-up as needed.
What We’re Looking For
- 2+ years of experience in permitting, construction administration, project coordination, or a similar field (preferred but not required).
- Excellent communication and organizational skills.
- Comfortable managing multiple moving parts and deadlines.
- Proficient with Google Workspace and familiar with project management software.
- Detail-oriented, dependable, and proactive in following up.
- Able to work independently and think ahead to keep projects moving.
