Job Title: Marketing Coordinator

Position Overview
The Marketing Coordinator supports the day-to-day execution of Calico’s marketing initiatives, ensuring that all projects, campaigns, and communications are efficiently organized, scheduled, and implemented. This role works closely with the Marketing Director to maintain internal systems, coordinate creative workflows, and uphold brand consistency across all platforms.
Essential Functions
Project & Workflow Management
- Maintain and update Airtable marketing databases, ensuring all projects and tasks reflect accurate timelines, owners, and statuses.
- Move tasks between categories (e.g., This Week, Today, This Month) to reflect real-time priorities.
- Prepare and update meeting agendas for all marketing meetings.
- Record and distribute meeting notes, ensuring follow-up tasks are entered in Airtable with clear deadlines and ownership.
- File and organize all marketing documents, including PR reports, agendas, and call notes.
Content Coordination & Execution
- Collaborate with the Marketing Contractor to maintain and execute the Marketing Content Calendar.
- Assign tasks to the creative team based on content themes and campaign calendars.
- Draft copy for social media posts and email newsletters, ensuring alignment with brand voice and messaging.
- Pull imagery from the Airtable image database and coordinate with the creative team to source or design visual assets.
- Schedule and publish content:
- Emails: Schedule in Klaviyo.
- Social Media: Schedule in Planoly for Instagram and LinkedIn.
- Pinterest: Create and maintain boards and pins for new collections.
Community Engagement
- Conduct daily social media check-ins (M–F) to:
- Respond to comments and DMs.
- Engage with followers and other design-related accounts through comments and re-shares.
- Reach out to designers who tag Calico to request project photos or features.
Event & Campaign Support
- Support event logistics, including sourcing and coordinating with vendors, caterers, photographers, and venues.
- Assist with the creation, setup, and tracking of new marketing campaigns.
- Provide general administrative and logistical support to the Marketing Contractor for launches, collaborations, and PR initiatives.
Reporting & Analysis
- Maintain monthly marketing reporting documents, tracking key performance indicators including:
- Email open and click-through rates.
- Organic social media engagement and reach.
- Pull data from relevant platforms (Instagram Insights, Planoly, Klaviyo) and update templates provided by the Marketing Contractor.
Design & Creative Support
- Use basic graphic design tools (e.g., Canva, Adobe Suite, or similar) to make light edits or prepare assets for invites, newsletters, and social posts.
Qualifications
- 1–3 years of experience in marketing coordination, communications, or digital content management (experience in the design, interiors, or creative industries preferred).
- Proficiency in Airtable, Planoly, and Klaviyo, or willingness to learn.
- Strong copywriting and organizational skills.
- Familiarity with Pinterest and Instagram content management.
- Basic graphic design or photo-editing experience is a plus (Canva, Photoshop, or similar).
- Ability to manage multiple projects, deadlines, and stakeholders with attention to detail.
