Administrative Assistant – Trading Team
Base Salary: $85,000–$100,000 + Overtime + Bonus

This individual will play a key role in ensuring operational efficiency and enabling the team to execute at the highest level.
Position Overview
The Administrative Assistant will be responsible for day-to-day administrative and operational support for a dynamic, time-sensitive trading desk. The ideal candidate is proactive, detail-oriented, organized, and able to anticipate needs in a high-pressure environment. This is an in-office role (4 days per week) with exposure to senior professionals and the inner workings of a top-tier investment platform.
Key Responsibilities
- Provide comprehensive administrative support to a team of traders, including calendar management, travel coordination, and expense processing
- Assist with meeting preparation, logistics, and follow-up
- Act as a communication hub—coordinating internally across investment, operations, and compliance teams
- Manage high-volume information flow with discretion and accuracy
- Perform data entry, tracking, and light reporting as required
- Support onboarding of new team members and assist with maintaining process documentation
- Ensure the trading desk runs smoothly by anticipating needs and resolving issues proactively
- Uphold confidentiality, professionalism, and sound judgment at all times
Qualifications
- 1–4 years of administrative, operations, or support experience; experience within financial services or a similar fast-paced, performance-driven environment strongly preferred
- Exceptional organizational skills, attention to detail, and ability to multitask under tight deadlines
- Strong communication skills and comfort interacting with employees at all levels
- High degree of professionalism, discretion, and reliability
- Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); familiarity with financial systems and terminology is a plus
- A proactive mindset with the ability to anticipate needs and solve problems with minimal oversight
