We’re looking for a high-integrity, highly organized finance and compliance professional who can serve as a trusted right-hand to the CEO and keep the company’s financial and administrative foundation clean, current, and audit-ready.
The Role
This is not a typical “executive assistant” role. This position is a finance-first operations and compliance role that also provides executive-level support. You’ll own recurring monthly financial workflows, keep state and federal filings on track, maintain reconciliations, and support the CEO with priority execution and documentation.
You’ll be stepping into a high-trust seat where your work directly protects the company and accelerates growth.
Key Responsibilities
Finance & Bookkeeping (Core)
- Maintain accurate books in QuickBooks (Online preferred)
- Monthly bank/credit card reconciliations and clean categorization
- Create and maintain recurring financial workflows (month-end close, reporting cadence)
- Support AP/AR: invoices, bill tracking, vendor payments, and collections follow-up
- Prepare basic monthly financial summaries (cash position, payables, receivables, burn/runway)
Payroll Withholding + Government Filings
- Handle or coordinate multi-state payroll withholding and compliance requirements
- Prepare and file recurring IRS filings and required federal submissions (monthly/quarterly as applicable)
- Manage state filings (withholding, unemployment, etc.) across applicable states
- Maintain a compliance calendar so nothing is missed (deadlines, confirmations, documentation)
Compliance + Admin Operations
- Organize and maintain company compliance records (contracts, vendor docs, receipts, filing confirmations)
- Assist with operational documentation that supports legal/finance readiness (W-9s, COIs, vendor setup, etc.)
- Create simple SOPs/checklists so processes run consistently
Executive Support to CEO (High-Trust)
- Keep CEO priorities organized: action lists, follow-ups, and recurring check-ins
- Draft and format professional communications and internal documentation
- Track key deliverables and ensure deadlines are met
- Support preparation for meetings (agendas, notes, next steps)
Ideal Candidate
You’re a proactive, discreet, detail-driven professional who likes owning the “operational backbone” of a company.
Qualifications
- 3+ years in bookkeeping/finance ops (small business, startup, or multi-entity preferred)
- Strong working knowledge of QuickBooks
- Demonstrated experience with multi-state payroll withholding and recurring federal/state filings
- Confidence managing reconciliations and keeping books clean and defensible
- Strong writing and organizational skills; able to support executive-level workflow
- High integrity, confidentiality, and follow-through
Nice to Have
- Experience supporting a founder/CEO in a fast-moving environment
- Familiarity with compliance documentation and basic contract administration
- Experience with tools like Google Workspace, Excel/Sheets, Microsoft Publisher, Power point
Time & Compensation
- Part-time: approximately 10–20 hours/week to start (may flex during close/filings)
- Compensation: hourly, based on experience
