Summary
Elegant Affairs is seeking a highly organized, creative, and motivated Event Design Assistant to support our design team in producing thoughtfully curated, high-end events. This role is ideal for someone early in their career who is eager to gain hands-on experience across event design, logistics, and on-site production, while learning the behind-the-scenes execution of exceptional events.
The Event Design Assistant plays a key role in supporting events from initial concept through execution, working closely with designers, planners, clients, and vendor partners to ensure every detail is thoughtfully executed. This position offers meaningful exposure to all aspects of event design and production, with opportunities to grow into a Designer role over time based on performance, skill development, and interest.
Key Responsibilities
Design & Creative Support
- Assist in developing event concepts, design decks, mood boards, floor plans, and timelines
- Support decor selection and styling, including rentals, custom elements, and installations
- Help translate creative ideas into actionable plans and production details
Client & Vendor Coordination
- Support client communication, including meeting prep, follow-ups, and documentation
- Assist with vendor outreach, coordination, and contract organization
- Serve as a professional point of contact for vendors as needed
Administrative & Planning Support
- Maintain organized event files, design documents, and production schedules
- Track budgets, proposals, and expenses in coordination with the design team
- Schedule meetings, prepare agendas, and assist with general event administration
On-Site Event Execution
- Assist with event load-in, setup, and styling
- Support supervision of setup crews and vendor teams
- Troubleshoot issues calmly and efficiently in a fast-paced environment
- Help ensure design intent is executed accurately on-site
What You’ll Do (Examples)
Pre-Event
- Create mood boards and design visuals
- Draft proposals and production documents
- Source rentals and custom decor elements
- Communicate with florists, rental companies, fabricators, and venues
During Events
- Act as a day-of support lead or vendor point person
- Assist with styling, staging, and final design adjustments
- Manage last-minute changes while maintaining a polished client experience
Post-Event
- Assist with post-event reports and wrap-up
- Support client follow-ups and internal debriefs
- Update vendor and design databases
Skills & Qualifications
- Strong written and verbal communication skills
- Excellent organizational skills and attention to detail
- Ability to multitask and remain calm under pressure
- Professional, polished demeanor suitable for client-facing environments
- Creative eye with an interest in design, decor, and aesthetics
- Willingness to work irregular hours, including evenings and weekends as required
- Comfortable working both in-office and on-site (standing, walking, light lifting may be required)
Technical Skills (Helpful but Not Required)
- Familiarity with tools such as QuickBooks, Canva, Adobe Creative Suite, Prismm, Social Tables, or other event management software
- Ability to quickly learn and adapt to new systems and workflows
