The Event Coordinator is responsible for the planning, coordination, and execution of company-sponsored disc golf events, as well as overseeing the course approval process for tournaments and branded partnerships. This role ensures that events reflect the company’s brand values and deliver a high-quality experience for players, spectators, and organizers. A key part of this position involves evaluating and approving temporary and permanent disc golf course layouts for events, ensuring they meet brand standards and competitive requirements. The ideal candidate is highly organized, detail-oriented, and passionate about delivering exceptional experiences in the disc golf community.
Essential Duties and Responsibilities:
Event Planning & Execution
- Coordinate all logistics for company-sponsored events, including tournaments, trade shows, team functions, and branded experiences.
- Serve as the main point of contact for tournament directors and event partners, guiding them through event requirements, expectations, and branding guidelines.
- Oversee pre-event planning, day-of coordination, and post-event follow-up for internal and external events.
- Manage vendor relationships, promotional materials, product shipments, signage, and staffing for events.
Course Approval & Layout Review
- Evaluate proposed disc golf course layouts for sponsored and co-branded events, ensuring playability, safety, and brand integrity.
- Collaborate with tournament directors and course designers to refine layouts based on feedback and standards.
- Maintain documentation of approved courses and work to develop a streamlined course review and approval process.
- Ensure consistency with company standards for hole lengths, player flow, signage, and competition readiness.
Brand Integration & Representation
- Ensure all events maintain a high standard of visual and experiential brand presence, including tents, banners, player packs, and media coverage.
- Represent the company on-site at select events, coordinating setup, brand presence, and athlete engagement.
- Capture or coordinate photography and video content from key events for marketing use.
Collaboration & Communication
- Work cross-functionally with marketing, sales, design, and community relations teams to support event strategy and outreach.
- Support the execution of grassroots events and partnerships with clubs, leagues, and nonprofits.
- Prepare post-event recaps, gather feedback, and assist in measuring event success through surveys and performance data.
Qualifications:
- Bachelor’s degree in Event Management, Marketing, Communications, or a related field, or equivalent experience.
- 2+ years of experience in event planning, sports marketing, or related project coordination.
- Strong organizational and multitasking skills, with attention to detail.
- Excellent communication and interpersonal skills.
- Familiarity with disc golf course layouts and competitive play formats.
- Ability to travel for events, including weekends and occasional extended trips.
Preferred Qualifications:
- Experience with disc golf course design, tournament coordination, or sanctioning processes.
- Working knowledge of PDGA rules and event standards.
- Experience with event management software and tools (e.g., Eventbrite, Google Workspace, Airtable, Trello).
- Background in outdoor event logistics, including permits, site setup, and equipment rentals.
Working Conditions:
- Travel required for events, sometimes including overnight and weekend commitments.
- May involve working outdoors in varying weather conditions and lifting up to 40 lbs during setup and teardown.
