The Role
As an Events Planner within our Corporate Marketing team, you will be responsible for planning, organizing, and executing a wide range of events aimed at fostering connections, promoting our brand, and engaging with various stakeholders. This role offers a unique opportunity to showcase your creativity, organizational skills, and attention to detail while working in a dynamic and fast-paced environment.
Responsibilities
- Event Planning and Coordination:
- Responsible for planning, budgeting, coordinating, and tracking firm events, seminars, retreats, and conferences both in-person, hybrid and virtual
- Venue searches and maintaining a venue database
- Assist with on-site registration, event set up, and break down
- List management and attendee tracking
- Management of event collateral, swag, and materials
- Managing and executing event communications in a timely manner
- Managing floorplans, BEOS, rooming lists, and event contracts
- Build out of invites, registration sites, and surveys using Cvent
- Maintaining the firm event calendar
- Relationship Management:
- Establishing and maintaining relationships with vendors and venues
- Collaborate with the marketing on overall branding and messaging goals.
- Events Management:
- Develop and manage event budgets, ensuring cost-effective planning and adherence to financial guidelines.
- Monitor expenses, negotiate contracts, and track invoices to maintain accurate financial records.
- Conduct post-event financial reconciliations and provide detailed reporting on expenditures.
- Travel:
- This role will require occasional travel to domestic and international locations to oversee and manage events
Qualifications
- Bachelor's degree in Event Management, Hospitality, Marketing, Business, or a related field
- Proven experience in event planning, preferably within the financial services or professional services industry
- Strong project management skills, with the ability to handle multiple projects simultaneously and meet deadlines without error
- Collaborative team player
- Excellent interpersonal skills, including verbal and written communication
- Detail-oriented with exceptional organizational and problem-solving abilities
- Proficiency in event management software, such as Cvent, On24, etc...and Microsoft Office Suite
- Flexibility to work outside regular business hours, including evenings and weekends, as required by event schedules
- A professional, polished, and positive disposition, even under pressure
It is expected that the base annual salary range for this New York City-based position will be $100,000 to $110,000. Actual salaries may vary based on factors, such as skill, experience, and qualification for the role. Employees may be eligible for a discretionary bonus, based on factors such as individual and team performance.
