Job Description:
NOTE: This role is based in New York City and encourages a minimum of two days per week in the SoHo office. Some roles or teams may require additional in-office attendance if the essential functions of the role require it.
THE OPPORTUNITY
Reporting to the Executive Director of School Market publishing, this role supports 5 full-time Editorial team members on licensed media publishing and nonfiction. The role is responsible for administrative support for a department handling over 150 projects annually, including all data entry, contract requests, invoices and other regular support work. The Editorial Assistant has project management responsibility for approximately 10-12 licensed stationery items each season, providing some hands-on product development experience. The position also coordinates the purchase and/or development of several promotional items (pens, stickers, bookmarks, etc) for the clubs and fairs each year.
Responsibilities
- Administrative: Data entry and management of data integrity for list of over 150 titles annually, ensuring product specs and information is accurate in STEP/Epic publishing databases and shared Google Drive documents. Create all P&L forms in Monarch P&L system, track cost and P&L approvals, assign ISBNs when projects are final and approved. Assist with administrative workflow throughout the department, including creation and routing of all contract requests, purchase order requests, quote forms, fact sheets, coding and processing invoices, etc.
- Product Development: Coordinate the purchase and/or development of school supplies and promotional incentive items (pens, posters, stickers, bookmarks) for school channels with guidance and supervision. project management responsibility for approximately 10-12 licensed stationery items each season, some of which have guided editorial content (quizzes, writing prompts, activities).
- Marketing Support & Cross Channel Communication: Create seasonal digital catalogs and create/maintain various Powerpoint presentations with covers, ISBNS, specs, descriptions and sales figures for each seasonal list. Distribute to International Publishers, Editorial Directors and Category Managers/Buyers. Write cover copy and marketing copy as needed.
- Freelance Editorial & Tangerine Press Support: Provide support to 5-7 freelance editors and Tangerine Press colleagues, including: training and support for licensor systems, downloading assets, routing materials for approval, and help navigating Scholastic systems.
- Assist with editorial tasks on nonfiction projects, including light fact-checking, researching and working with Subject Matter Experts when needed.
