The Sales/Reservation Coordinator is responsible for managing all aspects of reservations and providing essential support to the sales team. This role involves coordinating room reservations, group bookings, and assisting in achieving overall sales goals.
The Sales/Reservation Coordinator works closely with the Director of Sales and the Director of Revenue Management (DORM), and other departments to ensure a seamless reservation process while delivering exceptional service to guests and clients.
Key Responsibilities
- Handle all aspects of room reservations, including inquiries, bookings, modifications, and cancellations.
- Maintain a comprehensive understanding of room types, rates, and availability.
- Ensure accurate and timely input of reservations into the property management system (PMS).
- Confirm reservations with guests and provide all necessary details promptly.
- Assist the DORM with OTA reservations, apply payments, reconcile OTA commissions, and respond to extranet concerns.
Group and VIP Bookings
- Manage group reservations, including coordinating room blocks, rooming lists, and specific group requirements.
- Prepare and manage VIP reservations and associated materials (e.g., VIP cards).
- Communicate updates on group bookings and special requests to relevant departments.
- Assist with internal correspondence related to group events and functions.
Sales Support and Communication
- Collaborate with the sales team to identify potential sales opportunities.
- Maintain organized and accurate records of client interactions and transactions.
- Provide regular updates to the Director of Sales & Marketing and DORM regarding reservations, group status, and guest feedback.
- Respond to guest inquiries and concerns promptly, courteously, and professionally.
- Work closely with other hotel departments to ensure seamless communication and guest satisfaction.
- Deliver personalized service and accurate information to ensure a high level of guest satisfaction.
