The Purpose of This Role
If you are the person we are looking for, you have probably seen a trust administration matter become far more difficult than it needed to be because of poor drafting.
And If you are really the right person for the job, you jump at the opportunity to prevent that from happening again.
That is exactly why we are building the role of Estate Planning Specialist for someone with a trust administration background. In this position, your experience will not sit on the sidelines. It will help shape how we design and implement estate plans from the beginning.
The Estate Planning Specialist will serve as the operational quarterback for each planning matter, coordinating the process from the client’s first preparation steps through document execution.
By applying your trust administration experience to identify potential issues early, communicate clients clearly, and guide matters through the planning process, you will help strengthen our systems, improve the client experience, and free the attorney to focus on legal strategy, creating a net win for our clients, our team, and the quality of every plan we produce.
Core Responsibilities
As an Estate Planning Specialist, you will:
Serve as the primary client-facing coordinator throughout the estate planning process:
- Coordinate proper communication between our team and clients.
- Review client intake information and identify missing or incomplete details.
- Communicate professionally and effectively with clients to clarify facts regarding assets, family structure, and planning goals.
Lead internal case status reviews:
- Identify stalled items.
- Coordinate team follow-up.
- Organize client information using the firm’s CRM to prepare the attorney for design meetings.
Review drafted estate planning documents for accuracy and consistency with client information:
- Review and apply final touches on documents drafted by a drafting paralegal.
- Apply prior experience to identify practical trust administration issues, flagging them for edits and attorney review.
- Propose and draft edits or custom language for attorney consideration.
Lead estate plan signing meetings with clients:
- Review the documents with clients.
- Walk through funding instructions so clients leave the meeting prepared to successfully implement their plan.
Track billable time and maintain accurate case records within the firm’s systems.
Collaborate with the team to both refine and then implement necessary updates to the company’s internal processes.
Non-Negotiables
- Must be available to work in the office Monday-Friday, 8:30 AM - 5:30 PM.
- Trust Administration Experience: 3-5+ years of estate administration experience, such as Special Needs Trusts or other discretionary trusts. (CFTA and/or CFP is a plus, but not necessary)
- Comfort with drafting custom legal language for attorney review.
- Excellent communication and interpersonal skills.
- An attention to detail so strong that you notice if a Post-It note is crooked.
- Comfort working with various computer programs, databases, and systems, including Microsoft Office Suite and CRMs.
- Reliability and ability to handle confidential information with discretion.

- Estate planning matters move efficiently from intake to execution without unnecessary delays.
- The attorney enters design meetings fully prepared and gets to focus on legal analysis (and not chasing down a random beneficiary’s middle name).
- Draft documents accurately reflect the client’s situation and require minimal revision (or a future trust officer cussing at us).
- Clients leave signing meetings with a clear understanding of their documents and the steps needed to implement their plan.
- The firm can handle a growing volume of matters while maintaining a high level of client service.
