Arya is a consumer subscription business with eCommerce capabilities. We have a large inventory, with a few hundred SKUs and frequent SKU/vendor updates. You'll manage daily finance tasks, enabling our Sr. Ops Manager to focus on other priorities, while ensuring our books and cash flow remain accurate. You'll also work directly with the founders as Arya grows into a $100 million business.
This role begins part-time (15–25 hrs/week) with a clear path to full-time as transaction volume increases. The immediate focus is on hands-on execution. Over time, you can grow into a broader finance lead role as Arya scales.
Responsibilities
- Run AP end-to-end for inventory purchasing with over 50 vendors in the US and internationally.Process invoices, track various payment terms (prepay, Net-X, 50-50, on delivery), manage credits, and execute payments on schedule. Keep a clear overview of what’s due, what’s disputed, and what’s cleared.
- Keep QuickBooks accurate and well-organized. This involves maintaining the Chart of Accounts, using correct codes, properly setting up vendors, and performing reconciliations. Also, improve the mapping and matching between Brex and QuickBooks to reduce miscodings and streamline month-end cleanup.
- Own the PO reconciliation process. Match what we ordered against what arrived and what we were billed for, including freight and logistics charges. Resolve discrepancies such as short shipments, price variances, duplicate bills, and missing or applied credits, and ensure landed costs and inventory-related expenses are accurately recorded.
- Cohort debt financing reconciliation and monthly payback overview. Maintain an accurate view of cohort-level spend linked to the debt vehicle (marketing plus inventory), monitor debt payments, and reconcile payback against consumer revenues.
- Monitor budget versus actual expenses (aiming for cash-flow positivity later this year). Track the comparison across key spending categories to enhance corporate expense management. Provide a straightforward monthly overview: actual figures, budget, variance, remaining headroom, and upcoming required repayments.
Qualifications
- 2-6 years of experience in finance operations, accounts payable, or accounting operations.
- Experience in an inventory-heavy eCommerce, subscription, or consumer products environment is highly preferred.
- Comfortable working in a fast-changing environment with monthly updates of SKUs and vendors, and significant month-over-month growth.
- QuickBooks Online, with an understanding of maintaining a consistent Chart of Accounts and coding as volume increases.
- Experience with Brex or similar corporate card platforms, improving synchronization and matching into QuickBooks. Demonstrates high ownership, attention to detail, and follow-through, as credits, partial shipments, and exceptions are common.
