Marketing & Technology Coordinator
JOB DESCRIPTION
POSITION SUMMARY:
The Marketing & Technology Coordinator is responsible for assisting with the administrative functions of the Marketing & Communications team and helping with the marketing technology platforms in the Marketing Department that supports marketing and business development efforts. This role will help process invoices, maintain calendars, schedule meetings, help create and develop analytics and other reports, and support data clean-up efforts. The position will also leverage the firm’s EMS, ERM/CRM, AI tools, and other technology tools to provide value to the department, practices, and firm.
An understanding of, or the ability to quickly learn, marketing technology platforms, maintaining data quality, providing reports as requested, and sharing information to support client development, marketing campaigns/events, and firmwide outreach efforts is critical to this role. The Marketing & Technology Coordinator works closely with the Marketing & Analytics Specialist and they play a vital role in encouraging technology adoption, training and support, troubleshooting, and overall process improvement across the firm’s marketing and business development functions.
WORKING RELATIONSHIPS:
REPORTS TO: Reports to the Marketing Director and collaborates closely with the Chief Marketing Officer, Marketing & Analytics Specialist, Business Development team, and IT Department.
SUPERVISES: No supervisory responsibilities.
PRIMARY DUTIES AND RESPONSIBILITIES:
· Submits departmental invoices, expense reimbursement, and reconciliation requests.
· Maintains marketing event calendar with other members of the department.
· Supports and maintains marketing technology systems including email marketing system (EMS), website, ERM/CRM, intranet, social media management, AI tools, and new marketing technology as needed.
· Works closely with the Marketing & Analytics Specialist on analytics reporting through marketing systems to provide valuable reports on a monthly, quarterly, and annual basis.
· Ensures EMS and ERM/CRM data integrity through regular audits, de-duplication, enrichment, tagging, and categorization.
· Collaborates with marketing and business development professionals and attorneys to input, track, and maintain client and contact data in marketing systems. Also assists with reporting and outputs of the firm’s EMS and ERM/CRM systems.
· Supports email marketing efforts including leveraging EMS functionality, testing, troubleshooting, tracking, and reporting.
· Provides training and end-user support for marketing systems; develops and maintains user guides and onboarding materials with the help of the Marketing & Analytics Specialist.
· Coordinates with IT and external vendors on marketing technology initiatives, integrations, upgrades, and troubleshooting.
· Helps support the firm’s intranet to address and troubleshoot any issues. Works closely with the firm’s intranet vendor and the IT department.
· Supports the evaluation and implementation of new technologies to improve marketing and business development outcomes.
· Provides research and vetting for key marketing technology initiatives.
· Provides additional administrative support for department initiatives as requested.
· Additional duties as assigned.
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
EDUCATION: Undergraduate degree required (Marketing, Information Systems, Business Administration, or related field preferred).
WORK EXPERIENCE: 2–4 years of experience in legal or professional services marketing, with direct exposure to ERM/CRM systems, email marketing, and digital analytics tools.
REQUIREMENTS:
· Strong technical aptitude with experience using marketing software including ERM, CRM, CMS, and email management platforms preferred.
· Strong analytical skills to interpret data and translate into actionable insights.
· Familiarity and experience with Constant Contact, WordPress, NEXL, SharePoint, and Agorapulse or comparable systems a plus.
· Demonstrate sound judgment, prioritization, critical thinking skills, strong attention to detail, and have a sense of responsibility and accountability on processes, tasks, and projects.
· Ability to work under pressure, handle confidential information with discretion, and prioritize competing demands.
· Responsive and deadline-driven with requests and projects.
· Ability to be proactive, work both independently and collaboratively and use judgement in their work and understand when to escalate questions and issues.
· Excellent written and verbal communication skills and a customer-service mindset.
· Ability to work collaboratively with cross-functional teams.
· Must be highly proficient in Microsoft Office Suite (including Word, PowerPoint, and Excel).
WORKING CONDITIONS:
PHYSICAL EFFORT: Manual dexterity used in operating standard office equipment. Prolonged periods of sitting. May be required to walk to various areas throughout the office building.
WORK ENVIRONMENT: Normal office environment.
JOB STATUS: This is a full-time, non-exempt position. Work outside normal business hours may be required. Occasional travel expected.
The position is required to work in the office full-time, Monday through Friday. Eligibility for hybrid work (maximum of 2 days per week remote) begins after 12 months of continuous full-time employment, pending supervisory and policy compliance approvals.
LOCATION: This position may be based in some of the firm’s offices, including those in West Virginia (Bridgeport, Charleston, Huntington, Martinsburg, Morgantown, Wheeling), Pennsylvania (Meadville, Pittsburgh), Kentucky (Louisville, Lexington), or Texas (The Woodlands, Dallas, Collin County, San Antonio), with preference for Bridgeport, Morgantown, Wheeling, or Pittsburgh.

Pay: $48,500.00 - $70,000.00 per year
