About the Art Complex Museum
The Art Complex Museum (ACM), located on a 13-acre woodland campus in the historic seaside town of Duxbury, Massachusetts, houses the art collection of the Carl A. Weyerhaeuser family — more than 8,000 objects, including American and European prints, rare books, American paintings, Shaker furniture, Asian art, and other works. Supported by a dedicated endowment and free to the public since 1971, ACM serves as a regional center for the visual arts, presenting exhibitions, educational programs, and cultural events for diverse audiences.
Executive Assistant to the Executive Director
ACM is seeking a detail-oriented, resourceful individual to join our close-knit team as Executive Assistant to the Executive Director.
This is a full-time role with meaningful involvement across every area of a respected regional museum — from board-level communications and event coordination to providing administrative support for ACM’s volunteer program. The Executive Assistant will play a critical role in advancing ACM’s short- and long-term organizational objectives.
As Executive Assistant, you will:
- Support the Executive Director in all organizational areas, working cross-functionally and collaborating closely with museum staff, board members, volunteers, vendors, artists, and other stakeholders.
- Provide administrative support for ACM’s volunteer program, including coordinating volunteer schedules and tracking engagement data for the Executive Director.
Primary Duties and Responsibilities
Executive Director Support
- Manage calendar(s), schedule meetings, and draft communications.
- Organize meetings with internal staff, board members, and external partners, including managing agendas, distributing materials, and follow-up.
- Draft, edit, and proofread correspondence, reports, presentations, and other materials.
- Provide general administrative assistance to ensure smooth office operations.
- Work closely with the Museum Assistant on event logistics and support.
- Open and close the museum and provide operational support during open hours, including frequent weekend shifts.
- Other duties as assigned.
Volunteer Coordination Support
- Coordinate and maintain volunteer schedules to support museum open hours, special events, and educational programs.
- Track volunteer engagement metrics and provide regular reports to the Executive Director.
- Work collaboratively with and support the Museum Assistant on volunteer recruitment and onboarding and the Education and Programming Coordinator on volunteer training.
Skills and Qualifications
- A collaborative, solutions-oriented approach, with strong organizational skills and a commitment to problem-solving.
- Ability to work effectively both as part of a team and independently as a self-starter.
- Exceptional interpersonal skills and comfort working with a wide variety of stakeholders (one-on-one and in larger groups), including staff, volunteers, board members, artists, vendors, and the general public.
- Strong oral and written communication skills.
- A keen attention to detail and quality.
- Solid experience and comfort with technology, including working knowledge of Google Workspace (Drive, Docs, Calendar), Microsoft Office, and Adobe Creative Suite. Experience with Basecamp project management software is a plus.
- Ability to handle sensitive and confidential information with the highest level of discretion.
- Access to reliable transportation.
- Experience in nonprofit administration, executive support, or organizational coordination is strongly valued.
- Experience working in a museum or cultural organization is a plus.
Requirements
- Bachelor’s degree or equivalent combination of education and experience.
- Working knowledge of museums, art history, or contemporary art is a plus.
Schedule
This is a full-time, salaried position. The regular schedule includes weekend shifts during museum open hours (Wednesday–Sunday, 12:00–5:00 PM; Thursdays until 8:00 PM), with occasional evening and holiday coverage required. Flexibility to meet the changing needs of the museum is essential. At least one weekend a month in rotation with Museum Assistant and other staff.
