Position Overview
The Creative Project Coordinator supports the day-to-day operations of the Creative team by managing incoming project requests, coordinating timelines, and ensuring projects move efficiently from intake through final delivery. This role plays a key part in maintaining organization across a high-volume creative environment and works closely with designers, cross-functional partners, and the Senior Creative Project Manager to support workflow, prioritization, team capacity, and ongoing project status visibility.
The Creative Project Coordinator is responsible for consistently following up with the design team on project progress, tracking timelines and deliverables, and proactively communicating updates, risks, or delays to ensure work stays on track. The ideal candidate is highly organized, proactive, detail-oriented, and confident communicating with multiple stakeholders in a fast-paced environment. They should be comfortable managing competing priorities, identifying gaps in project information, and helping create structure and visibility across the team.
Tasks & Responsibilities
- Manage incoming Project Request Forms (PRFs) and Ad Request Forms (ARFs) for the Creative team, ensuring all required information, assets, specs, and timelines are complete before work begins.
- Follow up with project requesters on missing information and help enforce intake standards across teams.
- Partner with the Senior Creative Project Manager to prioritize and assign projects based on designer bandwidth, timelines, and business priorities.
- Track project timelines, approvals, deliverables, and ongoing status updates across multiple concurrent projects while maintaining consistent communication with the design team.
- Maintain visibility into team workload and proactively communicate bandwidth concerns, conflicting priorities, or resourcing challenges.
- Help balance day-to-day creative requests alongside larger campaign initiatives and business priorities.
- Own the coordination of packshot requests from intake through final delivery, including routing timelines, retouching rounds, approvals, and asset organization.
- Support photoshoot and campaign-related coordination across pre-production, production, and post-production, including timelines, contracts, estimates, budget updates, and asset delivery.
- Maintain organized creative asset libraries and ensure final files are properly archived and accessible.
- Act as a liaison between the Creative team, cross-functional partners, and external vendors to ensure alignment on timelines, deliverables, and project expectations.
- Lead status follow-ups and proactively escalate risks, delays, or workflow gaps.
- Support the ongoing implementation and optimization of Monday.com and other workflow tracking systems to improve organization, visibility, and team efficiency.
Qualifications
- 2–4 years of experience in creative project coordination, creative operations, or a similar role.
- Strong organizational and multitasking skills with the ability to manage a high volume of projects in a deadline-driven environment.
- Excellent written and verbal communication skills with strong attention to detail.
- Comfortable managing competing priorities, proactively identifying workflow gaps, and working cross-functionally with multiple teams.
- Tech-savvy with experience using project management and workflow tools such as Monday.com, Basecamp, and FileMaker.
- Beauty, fashion, agency, or creative industry experience preferred.
- Exposure to creative production, photoshoot coordination, or post-production workflows is a plus.
