Job Summary
Responsible for collecting, processing, preparing, scanning, boxing, and routing physical items received through the mail in Nature 3 and through interdepartmental delivery. Responsible for indexing, routing, and quality control of electronic documents generated within an enterprise content management system.
Responsibilities
Processing incoming documents (5%)
- Receive and process incoming mail and interdepartmental deliveries.
Preparing physical documents to be scanned (5%)
- Prepare, organize, and stage physical documents for scanning, boxing, and routing.
Scanning physical documents (10%)
- Digitize physical documents according to established standards and procedures.
Indexing & quality assurance of digital scans (50%)
- Index electronic documents accurately and complete quality control reviews of digital scans.
- Search internal and external database systems to identify legacy data and/or data not uploaded to the enterprise content management system.
Processing documents to route electronically (25%)
- Route, track, and/or index digital documents in the enterprise content management system.
- Support document tracking and archiving activities as needed.
Other responsibilities (5%)
- Provide support for document preparation, processing, digitizing, routing, tracking, and archiving as assigned.
- Identify potential software upgrades/enhancements/break fixes.
Skills And Qualifications
Education
- High School diploma or equivalent certification
Experience
- 1 year clerical/general office experience required
- Five years administrative support experience in oil and gas Land and/or Oil and Gas experience preferred
Knowledge, Skills, And Abilities
- Skilled use of Microsoft Office products including Word, Excel, and Outlook
- Basic knowledge of Microsoft Office products including Word, Excel, and Outlook
- Good clerical skills with an aptitude for detailed and precise work
- Ability to apply knowledge to address/resolve issues of moderate scope and complexity
- General working knowledge of business principles, industry practices, and system standards
- In-depth knowledge of all land data types
- Familiarity with databases used by regulatory agencies, DrillingInfo, and other online databases such as county digital record sites
- Strong organization and prioritization skills; able to manage multiple requests and tasks
- Strong communication skills; listens and communicates clearly, directly, and concisely; maintains confidentiality; keeps appropriate parties informed
- Actively seeks to develop and understand business and technical vocabulary related to petroleum industry Land functions
Decision Making / Working Style
- Consult with Manager/Lead when dealing with non-routine problems
- Escalate issues that need to be resolved by corporate land
- Work with reasonable direction and moderate supervision from Manager/Lead
- Identify new processes and procedural changes to address needs or changes expressed by Manager/Lead
- Identify need for additional support for special projects/surges in workload
- Utilize new and alternative approaches and techniques; overcome obstacles and bring issues to conclusion in a timely manner
Working Relationships
- Work closely, as needed, with Land/Land Services teams processing documents
Work Environment / Physical Requirements
- Ability to stand, walk, use hands to finger/handle/feel, reach with hands and arms, climb/balance, and stoop/kneel/crouch/crawl
- Ability to lift/move up to 25 pounds on a regular basis, and occasionally lift/move up to 100 pounds
- Vision abilities include close vision, distance vision, and color vision
- Ability to deal with wet and/or humid conditions and extreme heat/co(conditions as applicable)
Location: Spring, TX
Pay: $41.59/hr (W2)
