Position Overview
Salon Institute is seeking an experienced, organized student Financial Aid Coordinator
to oversee and administer the school's financial aid operations.
This is a hands-on position responsible for the day-to-day administration of federal
student aid programs and for ensuring Salon Institute remains compliant with applicable
federal, state, institutional, and accreditation requirements. Because this position serves
as Salon Institute's primary financial aid professional, the successful candidate must be
comfortable independently managing financial aid processes from initial student
counseling and eligibility determination through awarding, disbursement, reconciliation,
withdrawal calculations, reporting, and audit preparation.
Salon Institute is a NACCAS-accredited cosmetology school with campuses in Toledo
and Lewis Center, Ohio. We participate in federal Title IV financial aid programs and
provide financial aid guidance to students pursuing career-focused education in
cosmetology, hair design, and advanced cosmetology.
Key Responsibilities
Administer Salon Institute's federal Title IV financial aid programs in accordance
with U.S. Department of Education requirements and institutional policies.
Counsel prospective and current students regarding FAFSA completion, financial
aid eligibility, grants, student loans, scholarships, repayment obligations, and
available funding options.
Review student financial aid applications and documentation and determine
eligibility for federal student aid.
Manage financial aid packaging, awarding, verification, origination, certification,
and disbursement processes.
Monitor student eligibility throughout enrollment, including attendance, clock-hour
and payment-period requirements, and Satisfactory Academic Progress (SAP).
Complete and maintain required Return of Title IV Funds (R2T4) calculations
for students who withdraw or otherwise cease attendance.
Maintain accurate and complete student financial aid files and supporting
documentation.
Monitor financial aid activity and resolve discrepancies, rejected records,
conflicting information, and other student eligibility issues.
Perform or coordinate Title IV reconciliation and ensure financial aid records
agree with applicable institutional and federal systems.
Work closely with school administration, admissions, student services, and
accounting personnel to coordinate enrollment, student accounts, attendance
information, disbursements, withdrawals, and other matters affecting financial
aid.
Assist students and families in understanding financial aid requirements in a
professional, patient, and approachable manner.
Maintain current knowledge of federal student aid regulations, Department of
Education guidance, NACCAS requirements, and other regulatory changes
affecting institutional financial aid administration.
Develop, maintain, and update financial aid policies, procedures, forms, and
documentation as regulations and institutional practices change.
Monitor required financial aid deadlines, reporting requirements, and compliance
calendars.
Support institutional audits, accreditation reviews, Department of Education
program reviews, and other compliance activities by preparing records and
responding to financial aid documentation requests.
Assist with administration and documentation related to eligible veterans'
education benefits and other student funding programs, as applicable.
Maintain appropriate confidentiality and security of student financial and
personally identifiable information.
Provide management with financial aid reports and identify compliance concerns
or operational issues requiring attention.
Perform additional financial aid and student-services responsibilities as
appropriate for a small, career-focused educational institution.
Required Qualifications
Previous professional experience administering financial aid in a postsecondary
educational environment.
Working knowledge of Title IV federal student aid regulations and processes.
Experience working with FAFSA/ISIR information, student eligibility, verification,
awarding, disbursement, and financial aid documentation.
Knowledge of Satisfactory Academic Progress requirements and Return of Title
IV Funds calculations.
Strong attention to detail and demonstrated ability to maintain accurate, audit-
ready records.
Ability to interpret and apply federal regulations, institutional policies, and
procedural guidance.
Strong organizational and time-management skills with the ability to manage
multiple deadlines independently.
Strong written and verbal communication skills.
Ability to explain complicated financial aid requirements clearly and respectfully
to students and families.
High level of discretion when working with confidential student and financial
information.
Strong computer skills and ability to work comfortably with student information
systems, federal financial aid systems, spreadsheets, and electronic records.
Preferred Qualifications
Financial aid experience within a career school, proprietary school,
vocational school, cosmetology school, or other clock-hour institution.
Experience administering financial aid for clock-hour programs and determining
payment-period eligibility.
Experience with federal financial aid systems such as COD, NSLDS, FAFSA
Processing System (FPS), and FSA Partner Connect.
Experience performing Title IV reconciliation and preparing for financial aid audits
or Department of Education program reviews.
Familiarity with NACCAS accreditation requirements.
Experience with VA education benefits.
Bachelor's degree in business, finance, education administration, accounting, or
a related field; however, substantial directly relevant financial aid experience may
be considered in place of a degree.

Financial aid administration requires precision, deadlines, and careful adherence to
regulations, but it also requires working with students who may be navigating financial
aid and higher education for the first time.

records, communicate effectively with school leadership, and provide students with
knowledgeable and compassionate guidance throughout the financial aid process.
