Position Summary
The Associate Art Admin will be a key support member of the Creative Team, ensuring smooth workflow and clear communication between cross-functional departments. This role reports to the Art Director and is ideal for a detail-oriented, organized, and creative-minded individual who thrives in a fast-paced environment and enjoys supporting design processes behind the scenes.
Key Responsibilities
- Project Management & Cross-Team Alignment: Work with Account Management and Product Development teams to organize, track, and ensure all necessary product technicalities are provided in creative requests.
- Proofing & Quality Control: Review artwork, proofs, and designs to confirm accuracy, consistency, and alignment with brand guidelines.
- Art Deck Preparation: Following a template, compile, format, and prepare art decks in InDesign for internal and client presentations.
- Best Practices & Documentation: Assist the Art Director in compiling, organizing, and memorializing processes, best practices, and training documents to streamline workflows for the team.
- Administrative & Organizational Support: Maintain digital file systems, project management system, and other organizational tools to support creative project flow. Occasionally, this may include project coordination for freelance hiring.
- Select Design Projects and Revisions: Support the Art Team with select design projects and revisions when large projects are under deadline.

Qualifications
- 1–2 years of experience in creative administration, project coordination, or a related role (internships accepted).
- Strong organizational and communication skills, with the ability to manage multiple priorities and deadlines.
- Proficiency in Project Management software such as ClickUp (or similar), Dropbox, Microsoft Office, and familiarity with Adobe Creative Suite (well versed in InDesign. Photoshop and Illustrator are highly desirable; Acrobat is a plus)
- High attention to detail with an eye for design quality and brand consistency.
- A collaborative team player with a proactive, solutions-oriented mindset.
