Job Summary
The Employment Law Intake Specialist plays a vital role in the intake process for potential clients, ensuring a smooth transition from initial contact through attorney consultation and case assignment. This position involves consistent communication with both the lead intake attorney and potential clients to ensure that predetermined questions are answered, and essential documents are efficiently obtained. The focus is on gathering pertinent information for various claims—such as Title VII, ADA, FMLA, ADEA—and evaluating client capacity to be an effective witness. The goal is to provide attorneys with a complete packet that enables an immediate decision on representation. In addition to these responsibilities, this role also includes overseeing the implementation and management of a lawyer referral system for current and former clients, as well as consulting with clients on value-added services such as severance and job offer agreement reviews, ADA/FMLA leave documentation and interactive process support, "know your rights" webinars and toolkits, and counseling on non-compete and other restrictive covenants.
Key Responsibilities
· Contact potential clients to gather questionnaire information and supporting documents needed to assess representation eligibility.
· Learn and accurately explain the different types of representation agreements, including Legal Strategy Sessions (LSS), Paid Consultations, Charge Letters, etc.
· Clearly communicate the terms of representation agreements and cost responsibilities to potential clients.
· Provide follow-up courtesy calls to potential clients who provided information but have been declined.
· Maintain a high level of professionalism and customer service to uphold the firm’s brand and reputation in all markets served.
· Handle other client-related matters as assigned by attorneys or office management.
· Occasionally utilize the case management system (e.g., PracticePanther) to document notes, manage tasks, or track client interactions.
· Collaborate with the office manager and attorneys on various matters relating to potential clients and intake workflow.
Qualifications
· Minimum of 5 years of paralegal experience, with at least 2 years in employment law.
· Strong time management and organizational skills with exceptional attention to detail.
· Excellent written and verbal communication skills.
· Proven ability to deliver high-quality customer service in a fast-paced legal environment.
· Familiarity with the legal intake process and common employment law claims.
· Ability to empathize with individuals undergoing stressful or emotional situations and effectively gather critical information.
· Professional demeanor, sound judgment, and discretion when handling sensitive client matters.
