Job Title: Merchandising Coordinator
Reporting To: Merchandising Director

Position Summary:
The Merchandising Coordinator at John Hardy will play a pivotal role in managing and organizing seasonal jewelry samples, ensuring seamless coordination between Merchandising, Design, Product Development, and Marketing teams. This role is essential for maintaining sample integrity and inventory while supporting key events such as bi-annual markets, showroom presentations and the JCK show.
Roles & Responsibilities:
Sample Management
• Collaborate closely with the Merchandising Director to order seasonal samples.
• Communicate regularly with Design and Merchandising teams on incoming sample updates through weekly emails.
• Efficiently unpack, verify, and record samples using Navision and Airtable, ensuring all data is promptly and accurately updated.
• Maintain meticulous records of samples requiring revisions and ensure inventory accuracy at all times.
• Communicate all sample approvals and revisions to Product Development
• Manage the return process for samples needing revisions, including coordinating with Product Development and preparing necessary documentation (CI and TOR).
• Oversee wear tests for new samples, ensuring timely feedback and adjustments.
• Provide design team with sample references and coordinate handoffs of WIP components from Product Development to Design.
• Support design and collaboration appointments with necessary sample preparation.
• Coordinate sample needs for photoshoots, regional sales and training days, retailer events, and conclaves.
• Assist Visual Merchandising with the seasonal setup of new products.
• Backfill and partner with the Marketing Coordinator as needed.
• Manage Sample calendar in Asana
Inventory Management
• Maintain a highly organized and up-to-date inventory of all samples.
• Ensure all samples are accurately labeled, tagged, and accounted for at all times.
• Conduct regular cycle counts and audits of the sample inventory to ensure accuracy.
• Conduct annual inventory process, ensuring all movements are recorded in Navision.
• Manage the transfer of inventory to accounts and sales representatives, including obtaining proof of delivery (PoD) information.
• Follow up on any outstanding memos beyond their committed return dates.
• Assist with the bi-annual pulling, transferring, and returning of inactive or phased-out products to the factory.
• Ensure samples are regularly cleaned and properly tagged. Coordinate with local jeweler with product repairs.
Merchandising Support
• Assist with managing our Pinnacle product line – inventory management, allocation, seasonal product launches and reporting
• Prepare product and materials for style-outs and collection reviews, conducted quarterly and as needed.
• Collaborate with Visual Merchandising to set up assortments for GTM (Go-to-Market) milestones.
• Prepare products for assortment work sessions, ensuring all materials are ready and organized.
Showroom Support
• Set up showroom for market appointments and accounts meetings
• Maintain sample line presentation in showroom showcases
• Welcome and assist guests upon their arrival for market appointments.
QUALIFICATIONS AND REQUIREMENTS:
● Bachelor’s degree
● 1 – 3 years’ inventory experience preferred
● Proficiency in excel is a must (v-lookup and pivots)
● Self-motivated
● Highly organized
● Strong oral and written communication
● Ability to work well under pressure and excel in a fast-paced environment
