Position Summary
The VIP Relations Coordinator will support the VIP team across a variety of projects including partnerships, events, product seeding, and other marketing initiatives.
Responsibilities
- Play a critical supporting role in the overall organization of the marketing, events, and VIP teams
- Keep Marketing and VIP Calendar updated with all projects throughout the year
- Assure filing within the Google drive, shared albums, and Dropbox is organized
- Support internal and external project management and communications for brand partnerships and marketing activations
- Keep a close eye on deadlines to ensure all product/packing/labels/etc. are tracking on time for the deadline of every project
- Management of all Seeding buys with VIP Relations manager and related teams, assuring product is ordered in time and tracked appropriately for every project
- Clear communication between all teams if any delays are foreseen
- Organization of budgets for partnerships, projects, and experiential events
- Support VIP Relations Manager with seeding logistics including placing product orders, sending and tracking packages
- Stay on top of Operations and Production for any delays in product once submitted
- Make sure labels are submitted to the mailroom in time for send out date.
- Manage the packing of product for seeding packages either alone or with intern/store help
- Make sure tracking numbers are easily accessible on send out date
- Support VIP Relations Manager with hospitality trips including managing RSVPs, booking travel arrangements, and catering to special needs of the guests
- Help with the organization of guest lists including sizing, dietary restrictions, guest seeding boxes/shipping logistics, FF numbers, etc.
- Booking and managing travel with executive team and VIPs as needed
- Maintain digital rolodex of VIP contact information with utmost confidentiality
- Oversight of VIP database
- Help to assure all VIPs are considered for appropriate projects
- Develop opportunity decks for new and existing talent
- Develop and own all recap decks, send recaps to appropriate parties
- Manage and track overall VIP budget for the VIP Department.
- Collaborate with external PR agency as directed by Director of Marketing & Events
- Work with PR partners on guest list and seeding lists as needed
Qualifications
- Bachelor's Degree Required
- Minimum of 2 years experience in a marketing, public relations, or partnership role
- Strong organizational skills, with high attention to detail
- Ability to multitask, in fast-paced environment
- Self-led use of discretion and confidentiality
- Ability to operate with strong sense of ethics, in work and personal relationships
- Ability to and love of travel, domestically and internationally
- Willingness to work flexible schedule
- Advanced knowledge of G-Suite (G-Mail, Google Sheets, Google Docs)
- Advanced knowledge of Office 365 (PowerPoint, Excel)
