We are seeking an organized and energetic Event Specialist to support the planning and execution of corporate events and experiences. In this role, you will assist in coordinating both external and internal events that reflect our organization’s brand and objectives. This position requires excellent attention to detail, strong communication skills, and the ability to manage multiple logistics to ensure smooth and successful events.
Responsibilities:
• Support the planning and coordination of external and internal events, ensuring all logistical details are executed efficiently.
• Research and recommend venues, restaurants, and vendors to create engaging and memorable experiences.
• Assist with menu planning, catering coordination, and dietary accommodations.
• Manage inventory and event supplies, including packing, shipping, and tracking materials before and after events.
• Set up and maintain event registration sites using tools such as Cvent or similar platforms.
• Provide onsite event support, including setup, guest registration, vendor coordination, and teardown.
• Collaborate with the broader events and marketing teams to maintain templates, checklists, and planning resources.
• Communicate regularly with internal stakeholders to share event updates and ensure alignment.
• Track attendance, gather post-event feedback, and assist in reporting event results.
• 2+ years of experience in event coordination, logistics, or related administrative support.
• Excellent organizational skills with strong attention to detail.
• Effective written and verbal communication abilities.
• Proven ability to manage multiple priorities and meet tight deadlines.
• Familiarity with event registration platforms (Cvent preferred) and Microsoft Office Suite.
• Experience with tools such as Salesforce, Smartsheet, or SharePoint is a plus.
• Willingness to travel for onsite event support and perform physical event setup tasks.
• Creative mindset with an interest in current event trends and experiences.
