Job Title: Finance Operations Specialist
Location: Hybrid (Onsite in Westford, MA Tues–Thurs)
Team Collaboration: Westford, MA & Broussard, QC, with centralized finance support in Mexico and India
Overview:
We’re seeking a proactive and highly organized Finance Operations Specialist with a solid finance or accounting background to join our dynamic team. This role is ideal for someone who thrives in a fast-paced, startup-like environment and is eager to learn the intricacies of software capitalization, internal financial processes, and budgetary support. The position involves handling confidential financial data, including salaries and contractor rates, and requires a high level of discretion and professionalism.
Key Responsibilities:
• Accounts Payable Support:
- Collaborate with the Accounts Payable team to track vendor activity, ensure proper coding, and follow up on invoices and payments.
- Maintain clear documentation and communication with vendors and internal teams.
- Support budget adherence by monitoring invoice timing and alignment with forecasted spend.
• Software Capitalization:
- Assist in capitalizing software engineering costs until product release.
- Extract and analyze time system reports, calculate global rates, and submit data to finance for cost allocation.
- Learn and apply software capitalization principles (prior experience not required).
- Work closely with software developers and development teams to understand project timelines and cost structures.
- Ensure capitalization efforts align with budget forecasts and financial reporting standards.
• Financial Process Management:
- Navigate and learn internal financial workflows and systems.
- Work closely with finance/admin teams in Westford, MA; Broussard, QC; and centralized corporate finance groups in Mexico and India.
- Assist in preparing budget reports and variance analyses to support financial planning cycles.
- Take ownership of site-specific budgets and expenditures, with increased responsibility for local financial oversight.
• Cost Tracking & Procurement Collaboration:
- Monitor contractor and supply costs to ensure alignment with budget targets.
- Partner with procurement to ensure accurate financial tracking and reporting.
- Provide input on budget planning and forecasting based on cost trends and vendor activity.
• Budgetary Support & Forecasting:
- Collaborate with finance leadership to support budget development and quarterly forecasting.
- Track actuals vs. budget across key operational areas and flag discrepancies.
- Assist in preparing budget presentations and documentation for internal stakeholders.
- Work with complex Excel workbooks, including pivot tables and advanced formulas, to support financial analysis.
• Cross-functional Impact:
- Understand organizational structure and how financial decisions affect broader operations.
- Identify opportunities to contribute beyond core finance tasks (e.g., payroll, facilities, admin support).
- Support cross-functional teams with budget insights and financial data to inform decision-making.
Qualifications:
- Bachelor’s degree in Finance, Accounting, or related field (or equivalent work experience).
- Strong communication skills and a proactive approach to problem-solving.
- Highly organized with attention to detail.
- Eagerness to learn and grow within a fast-paced environment.
- Proficiency in Microsoft Office (Excel, Outlook, Word); experience with budgeting tools a plus.
- Experience in a dynamic environment is a plus.
- Exposure to software development teams or technical environments preferred.
