Position Summary
Maryland Safe Haven is seeking a Grant Associate to support grant writing and grant administration, playing a key role in securing and managing funding that advances our mission. This position assists with pre‑award proposal development, contributes to written materials, oversees grant coordination, and supports select post‑award compliance tasks typical of Grant Administrators.
Additionally, the Grant Associate may assist with fundraising and development activities including donor communications, prospect research, and event support.
Key Responsibilities
Grant Writing & Pre‑Award Activities
· Research and identify funding opportunities across government, foundation, and corporate sectors.
· Draft, edit, and prepare grant proposals, letters of inquiry, budgets, and supporting documents.
· Review funder requirements to ensure all submissions meet technical and compliance standards.
· Work closely with program and finance staff to gather necessary program data, statistics, budgets, and narratives.
· Maintain a master calendar of deadlines for proposals, renewals, and funder reporting.
Post‑Award Grant Administration (Administrator‑Level Tasks)
· Assist with monitoring grant timelines, deliverables, and budget adherence.
· Collect programmatic and financial data for interim and final reporting.
· Maintain accurate digital and physical grant files in compliance with audit and funder requirements.
· Collaborate with finance to reconcile expenditures and identify any discrepancies or compliance concerns.
· Support adherence to all federal, state, and private funder guidelines.
Cross‑Department Collaboration
· Communicate grant expectations, deliverables, and documentation needs to internal staff.
· Facilitate periodic check‑ins with program leads to track progress on grant implementation.
· Ensure deadlines are met by coordinating tasks among departments.
Fundraising & Development Support
· Assist with donor research and stewardship communications.
· Support the development of donor‑facing materials, including newsletters and annual reports.
· Help coordinate fundraising events, drives, and community engagement activities.
· Maintain donor and funder information in organizational CRM systems as needed.
Data & Documentation Management
· Update and manage organizational grant tracking systems, spreadsheets, and databases.
· Produce periodic internal reports summarizing grant performance, outcomes, and funding pipelines.
· Ensure documentation is complete, accurate, and maintained in accordance with internal policies.
Qualifications
· Bachelor’s degree in nonprofit management, public administration, communications, or a related field; equivalent experience accepted.
· 5+years of experience in grant writing, grant administration, research administration, or nonprofit development.
· Strong persuasive writing and editing abilities.
· Understanding budget development and basic financial reporting.
· Excellent organizational, communication, and project management skills.
· Familiarity with Microsoft Office Suite, Adobe, grant submission portals, and CRM systems preferred.
· Ability to work independently and collaboratively in a fast‑paced environment.
