About the Role
We are a custom scenic fabrication studio producing large-scale themed props and immersive environments for entertainment venues. We’re seeking a Production & Project Coordinator to help manage schedules, assign resources, and keep projects moving smoothly from approval through completion.
This role is ideal for someone who enjoys organization, coordination, and problem-solving in a hands-on manufacturing environment — without needing to be the designer or the fabricator themselves.
Core Responsibilities
- Maintain and update production schedules for scenic prop and theming projects
- Schedule individual props and assemblies based on delivery and installation timelines
- Assign work across fabrication, robotic machining, finishing, and coatings based on availability and skill sets
- Track project progress and maintain clear internal status updates
- Proactively flag scheduling conflicts, capacity constraints, or material delays
- Coordinate internal communication between production, finishing, and leadership
- Support client communication related to timelines and project status (no sales required)
- Assist with documentation, job tracking, and internal follow-up to ensure projects move efficiently
What You Will Not Be Responsible For
- Setting pricing or negotiating contracts
- Approving scope changes or delivery commitments independently
- Managing hiring or personnel decisions
- Leading creative concept design

What We’re Looking For
- Experience in production coordination, project coordination, or operations
- Strong organizational skills and comfort managing schedules and priorities
- Ability to assign tasks clearly and follow up professionally
- Strong communication skills with both shop staff and leadership
- Comfort working in a fabrication, manufacturing, or construction-style environment
- Calm, proactive, and detail-oriented
Nice to Have (Not Required)
- Ability to assist with fabrication drawings or shop documentation for approved designs
- Experience translating existing designs into build-ready drawings, layouts, or cut files
- Familiarity with CAD or 3D software (Fusion, Rhino, SolidWorks, Blender, or similar)
- Experience with Trello, Asana, Monday, spreadsheets, or similar tracking tools
- Background in scenic fabrication, exhibits, themed environments, or custom manufacturing

Compensation

Pay: $35.00 - $40.00 per hour
