Creative Services Manager
Reports to: Director of Marketing
Remote/Hybrid Schedule: Usual work hours 9:00a – 5.30p/ Currently required minimum 2 day in the office per week, occasionally more. Work schedule may include overtime, evening and weekend work during performances and marketing events. Schedule will be adjusted accordingly.

THE ROLE
The Creative Services Manager is the liaison for internal and external stakeholders at Miami City Ballet for design and creative projects that are the basis for marketing campaigns that promote a broad range of MCB performances, events and initiatives.
Under the guidance of the Director of Marketing, the Creative Services Manager plays an integral role in the project process management from conception to completion, including traditional and digital marketing collateral, content pieces, photo and video production. Responsibilities include interpreting briefs, managing timelines, liaising with external mailing houses, printers and theaters, traffic management, routing projects for approvals and other related duties.
This role requires a consistently high level of accuracy and meticulous attention to detail in daily work. An individual with excellent organization skills and energy will thrive in this multi-faceted role and fast-pace environment. The role requires an ability to respond to requests swiftly and with flexibility, while not losing sight of deadlines and priorities.
The ideal candidate will add to the fabric of this close-knit team, eager to jump in and fill in gaps and assist colleagues and who enjoys collaborating on a multitude of projects. We’re looking for a problem-solving, multi-tasking star to traffic creative jobs from development and approvals process to completion.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Creative Services Project Management
· Responsible for project planning, budget and quality
· Acting as the project manager, work closely with the Director of Marketing, venues, digital agency and media agency on advertising schedules, ensuring assets are delivered on time.
· Coordinate the production of collateral, including but not limited to: brochures, print ads, venue signage, outdoor advertising, videos, social media content, static and dynamic digital display ads, event collateral, invitations.
· Supervise in-house Graphic Designer to set priorities, ensure tasks are completed on time and efficiently.
· Drive compliance/adherence to brand build lines across internal/external teams, agencies, third party partners
· Set up briefing meetings, build and communicate timelines. Maintain detailed records of projects, segmentation and strategies. Ensure briefing and project processes are followed cross-departmentally.
· Responsible for the approval and proofing process for marketing collateral including funder credits and recognition requirements are met.
· Coordinate the print process and complex mailing projects for subscriptions and singe ticket marketing campaigns with internal team members, external printers and mailing houses.
· Negotiate with vendors to ensure effective budget spending, quality of projects and attentiveness to timelines/deadlines
Content and Publications
· Work closely with the marketing team to coordinate the development and production of content
· Source/research necessary assets needed, i.e. images, music tracks, archival footage.
· Project manage the creation of MCB digital program books; proof-reading and reviewing designs for quality control; Manage trafficking and sign-off from internal stakeholders.
· Coordinate design and production of performance casting sheets and program sheets.
Photography and Video
· Route photos and video for approval from dancers, artistic staff and other parties as required.
· Ensure that internal asset files are updated and always organized.
· Work with the Director of Marketing on the coordination and execution of photo and video shoots and assignments.
General
· Coordinates and processes departmental invoices in the AP system in a timely manner; tracks expenditures in MCB departmental marketing budgets, reconciling with monthly statements from Finance to ensure accuracy of postings.
· Adhere to Company brand and tone of voice guidelines as outlined in various marketing strategies for all communications.
· Be an active participant in agreed cross-departmental teams.
QUALIFICATIONS
Essential
- Minimum of 3 to 5 years’ professional marketing experience coordinating projects and/or operations; some experience in an agency setting or working with creative/media agencies is desired.
· Proven project management experience in setting priorities, developing schedules and monitoring progress toward goals.
- Knowledge of graphic design process, briefing process, pre-press requirements for print and mailing process, photo shoot production.
- High level attention to detail, excellent copy writing, grammar and proof-reading skills
- Excellent interpersonal and communication skills including the ability to deal with a wide variety of stakeholders internally and externally.
- Excellent PC IT skills including proficiency with Microsoft Office Suite and project management software (i.e. Asana) and an ability to learn new programs if required.
- An interest in performing arts/entertainment/cultural/creative industries
Desirable
- Knowledge of Adobe Creative Suite (Indesign, Photoshop, Premiere)
- Editing skills and some knowledge of Final Cut Pro X or similar
- Bi-lingual
