About the Position
The Production Assistant’s main goal is to support the creative execution of all brand production projects including photoshoots and brand events. They also have responsibility for maintaining and developing a seasonal and annual calendar for the sample management process.
A day in the life…
Photography Production Support
- Assist in planning, scheduling, and coordinating photo shoots, including pre-production logistics and day-of support.
- Manage sample flow for photography needs, ensuring items are tracked, prepared, steamed, and ready for studio or on-location shooting and passed back in well-organized Partner with the Brand Creative and Marketing teams to ensure all photography assets align with brand standards and seasonal storytelling priorities and facilitate post-production execution of assets, meaning, pass off “Selects” for Retouching and Uploading to IT systems (Sitecore),
- Support vendor or freelance partners with accurate shot lists, creative briefs, and sample information and share assets with partners in a timely manner with usage outlined (timeline).
- Support the events, PR, and creative budgets by assuring production is executed on time and within budget.
Sample Management
- Own the sample inventory process for brand creative, PR, and influencer needs—including check-in, tagging, tracking, storage, and returns.
- Maintain an up-to-date sample tracking system that reflects availability, location, and status for all items.
- Coordinate cross-functional sample pulls, ensuring timely delivery and accurate documentation formats.
- Work closely with merchandising, marketing, and PR teams to prioritize sample use based on business needs.
- Identify samples for PR, Influencer, and Events as well as for photoshoots.
Content Asset Management
- Upload and organize photography and storytelling assets into systems (e.g., DAM platforms, internal libraries, or project management tools).
- Ensure all assets are properly named, tagged, and described for accurate and efficient cross-functional search.
- Partner with Creative, Marketing, E-Commerce, and Social teams to confirm that approved assets are available for their needs across channels.
- Maintain version control and track usage rights and metadata where applicable.
Project & Workflow Coordination
- Maintain production calendars, timelines, and shoot schedules.
- Communicate progress updates and deliverable status to cross-functional partners.
- Support the development and implementation of new processes that improve efficiency in production, asset delivery, and sample flow.
- Assist with administrative tasks such as invoicing, vendor coordination, and file organization.
- Pre-Production planning and support for events, fashion shows, photoshoots, etc.
Qualifications for the Position
- 1+ year of experience in production, creative operations, marketing, PR, or related field (fashion/apparel experience preferred).
- Strong organizational and project management skills
- Ability to multitask and prioritize in a fast-paced environment required
- Highly detail-oriented with excellent follow-through and documentation habits.
- Proficiency with digital asset management systems, project management tools, and basic Adobe Creative Suite preferred.
- Strong communication skills and a collaborative mindset; comfortable working cross-functionally.
- Operational Excellence: Efficient, accurate, and consistent with workflows and documentation
- Ability to build strong relationships across creative, marketing, PR, merchandising, and e-commerce teams
- Thrives in a dynamic environment with shifting priorities and fast production timelines.
- Strong understanding of the Lilly Pulitzer collections, key items, and brand “it” styles

A Little More to Know…
- This position is classified as full-time salaried; it is exempt and is not eligible for overtime. This position is eligible for standard company benefits.
- This position is required to maintain a structured hybrid work schedule based out of King of Prussia, Pennsylvania, a suburb of Philadelphia. This hybrid schedule, which includes work done in the King of Prussia Office as well as your Home Office will be determined by your supervisor.
- Domestic and international travel is required in this position.
- Given the seasonality of the business, this position may require flexible, additional working hours during peak periods.
- This position is expected to collaborate effectively with other individuals in alignment with our Core Values and Core Leadership Qualities.
