About the Role
MARLI New York is seeking a meticulous and proactive Sales Operations Specialist to join our team. You will be a vital link in our supply chain, ensuring that our high-end jewelry reaches retail and wholesale partners with the precision and luxury experience our brand is known for.
Reporting directly to the Sales Operations Coordinator, you will manage the lifecycle of an order from inventory organization and order creation to final shipment and tracking. This role requires a blend of logistical expertise, administrative accuracy, and cross-functional communication.
Key Responsibilities:
Logistics & Quality Control
- Order Fulfillment: Receive, package, and ship high-value products to retail and wholesale partners.
- Quality Assurance: Strictly adhere to brand quality control protocols to ensure every piece leaves in pristine condition.
- Shipping Management: Track all outgoing orders via an Order Tracker and proactively problem-solve any shipping or transit issues.
- Manage inbound and outbound shipments processing, including stock transfers, repairs, wholesale, and event allocations, ensuring proper documentation in timely fulfillment.
- Coordinate secure transportation and delivery of high value domestic and international shipments through Malca-Amit, Ferrari, and local guards.
- Claims: Initiate and manage insurance or carrier claim filing as necessary.
Inventory & Material Management
- Organization: Maintain a highly organized inventory vault and storage system.
- Auditing: Lead and organize weekly, monthly, and quarterly cycle counts to ensure 100% inventory accuracy.
- Supplies: Manage and maintain optimal stock levels of luxury packaging and shipping materials.
Administrative & Sales Support
- Documentation: Process and create vital shipping and financial documents, including invoices and pro-forma invoices.
- Order Entry: Create sales orders and purchase orders across all channels (Retail, Wholesale, eCommerce), including custom special orders for the NY Boutiques.
- Manage TIB: Ensuring compliance U.S Customs regulations with accurate documentation and timely re-export.
- Client Relations: Act as a support point for wholesale clients regarding stock availability, pricing, and delivery timelines.
Cross-Functional Collaboration
- Global Liaison: Coordinate with the factory and international partners to secure delivery updates and production timelines.
- Internal Synergy: Work closely with the Marketing Team to facilitate product placement opportunities and shipping needs for PR/events.
- Reporting: Communicate regularly with key managers to ensure all operational processes are being followed and optimized.
Qualifications
- Experience: 2+ years in sales operations, luxury logistics, or inventory management (fine jewelry experience is a plus).
- Precision: Exceptional attention to detail, especially regarding high-value asset handling and documentation.
- Communication: Strong interpersonal skills with the ability to liaise between international factories and local retail teams.
- Tech-Savvy: Proficiency in CRM systems, order management software, and O365.
- Problem-Solver: A "get it done" attitude with the ability to pivot when shipping or inventory discrepancies arise.
