The People Coordinator provides administrative support for the Human Resources
Department. Position supports HR operations, including new hire onboarding/offboarding and new hire orientation.
Position also assists with HR projects and leads employee engagement events.
RESPONSIBILITIES
- Supports New Employee Orientation by scheduling participants, ordering lunches, lining up instructors, coordinating needed materials/supplies and setting up the training room for day of orientation.
- Monitors the completion of background checks, drug screens, and post-offer employment physicals. Ensures all new hire paperwork is complete. Keeps applicants, hiring managers, and other departments up to date on status of pre-hire requirements.
- Ensures that each employee has an accurate signed job description and onboarding documents in their file.
- Ensures that master initial logs are signed by all new employees according to policy and stored by department.
- Prepares New Employee Orientation (NEO) swag bags, folders, and materials. Conducts HR related presentations as needed.
- Issues employee ID number, ID badges, shoe vouchers and lockers.
- Provides information to the external Canteen service regarding new hires.
- Orders new hire business cards with Marketing department.
- Orders new hire credit cards with Finance department.
- Removes and ships items from locker after employee turnover to ensure adequate locker availability.
- Orders and maintains inventory of new hire and departmental supplies.
- Prepares monthly departmental expense reports.
- Leads all aspects of employee culture/experience events, including employee flyer communications, location, vendors, catering, decor, entertainment, event budgets, and timelines. Overseas event set-up, execution, and breakdown to ensure everything runs smoothly and according to plan.
- Manages weekly onsite food truck line up and serves as primary contact to vendors.
- Attends onsite and external career fairs, as needed to provide administrative support.
- Assist with contacting and extending offers of employment to selected applicants as requested by department leadership.
- Facilitates the Employee Spotlights program.
- Facilitates annual performance review process for managers.
- Facilitates Birthday/Anniversary announcements.
- Possesses and maintains a high degree of confidentiality.
- Possesses and maintains an approachable and friendly demeanor at all times.
- Familiarizes self and keeps up to date on Thorne Research’s policies and procedures.
- Maintains professionalism and tact in sensitive situations.
WHAT YOU NEED
- Bachelor’s degree, preferably in business or human resources is required.
- A minimum of one year of working experience in human resources and/or an event planning role.
- Strong Microsoft office skills (i.e.: Word, Excel, PowerPoint, Outlook)
- Develops and delivers on assigned objectives within requested timeframes.
- Possesses good interpersonal skills and engages others in a positive manner.
- Possesses strong attention to detail.
- Manages highly confidential information.
- Excellent organizational and time management skills.
