Our well-known beauty client is seeking a Marketing Assistant/Coordinator to support day-to-day marketing operations and team coordination. This role is heavily administrative and ideal for someone who is highly organized, detail-oriented, and eager to learn the behind-the-scenes processes of a fast-paced, luxury beauty environment. You will partner closely with cross-functional teams, vendors, and leadership while helping manage workflows, systems, and reporting.
The Basics
Duration: 7.5 months
Hours per week: Full-time, approximately 40 hours per week
Location requirements: Hybrid; New York City (Hudson Yards)
Top 3 Required Qualifications:
- Strong administrative and organizational skills with high attention to detail and ability to manage multiple workflows simultaneously
- Experience working in operational systems such as purchase orders, invoices, order forms, trackers, or internal reporting tools
- Self-starter mindset with ability to operate autonomously, adapt quickly to shifting priorities, and collaborate across teams
Other Qualifications
College degree preferred
Interest in marketing, beauty, fashion, or luxury brands
Comfortable working with vendors and external partners
Strong written and verbal communication skills
Ability to give and receive feedback in a collaborative environment
Eagerness to learn internal processes and grow a long-term career in the beauty industry
Key Responsibilities:
- Own and maintain budget trackers; process purchase orders, invoices, and vendor-related documentation
- Manage communication with internal teams and external vendors, including onboarding new vendors as needed
- Create and manage product orders, oversee shipments, and communicate timelines to stakeholders
- Track and maintain inventory for team product closet supporting mailers and events
- Organize and maintain internal team storage hubs and documentation systems
- Track project timelines and updates within team dashboards and reporting tools
- Oversee updates across internal reporting systems and share progress with key stakeholders
- Identify and vet potential influencer talent for product mailers
- Own reporting and recaps; support and occasionally develop strategy and presentation materials for team and leadership updates
In this position, you may have access to client or customer systems, confidential and/or proprietary information or data. This position is onsite and requires you to work closely with other individuals in a collaborative team environment.
