Position Summary
The Product Development Coordinator supports the execution of branded merchandise, apparel, uniform, and custom product programs from concept through production readiness and order release. This role is heavily focused on production coordination, sample management, specifications, approvals, timelines, supplier follow-up, and cross-functional execution.
Working closely with Sales, Creative, Purchasing, Production, and supplier partners, this position helps ensure products move efficiently from development into production with accurate details, clear communication, and timely follow-through. The role supports sourcing and pricing activities as needed, but primary accountability is centered on production readiness, sample execution, documentation accuracy, and project coordination.
Core Responsibilities
Product Development & Production Readiness
· Coordinate product development from concept through approved production handoff.
· Manage sample requests, prototype tracking, revisions, approvals, and pre-production samples.
· Maintain accurate product specs, artwork details, materials, colors, sizing, packaging notes, and production requirements.
· Track project timelines and follow up with suppliers and internal teams to keep programs moving.
· Identify delays, missing details, or production risks and escalate as needed.
· Support transition from approved sample/spec into purchase order, production release, and execution.
Sample & Approval Management
· Own sample tracking across multiple projects.
· Coordinate internal reviews with Sales, Creative, Purchasing, and Production.
· Document feedback, revisions, approvals, and final production decisions.
· Ensure approved samples and specs are clearly communicated before production begins.
Supplier & Production Coordination
· Serve as a day-to-day contact for suppliers on development, samples, timelines, production readiness, and issue resolution.
· Track supplier commitments, lead times, sample ETAs, production updates, and delivery risks.
· Support reorder coordination and continuity for existing customer programs.
· Help resolve production-related issues involving quality, timing, specs, packaging, or communication.
Cross-Functional Project Execution
· Coordinate assigned product development and production projects across internal teams.
· Maintain project trackers, action items, timelines, and status updates.
· Support major customer programs, seasonal launches, repeat orders, and custom development projects.
· Assist with internal order release activities in partnership with the team and other stakeholders.
Sourcing & Pricing Support
· Support sourcing requests by gathering supplier options, product details, cost inputs, and availability when needed.
· Assist with pricing submissions, costing sheets, and supplier quote follow-up.
· Validate that pricing inputs are complete and organized internally.
Process & Documentation
· Maintain accurate production, product development, supplier, and costing records.
· Improve trackers, approval workflows, and communication tools.
· Support process consistency across development, sampling, approvals, and production handoff.
Qualifications
- Bachelor's degree in Business, Supply Chain Management, Product Development, Fashion Merchandising, Marketing, or a related field preferred.
- 1-3+ years of experience in sourcing, product development, procurement, merchandising, project coordination, supplier management, or a related function.
- Demonstrated ability to independently manage multiple projects, deadlines, and stakeholder relationships simultaneously.
- Strong understanding of product development processes, sourcing practices, costing methodologies, and supplier management principles.
- Excellent organizational, analytical, and problem-solving skills.
- Exceptional attention to detail and commitment to accuracy.
- Strong verbal and written communication skills with the ability to effectively collaborate across all levels of the organization.
- Advanced proficiency in Microsoft Excel, Outlook, and business productivity tools.
- Experience within promotional products, branded merchandise, apparel, uniform programs, or related industries is strongly preferred.
- Experience working with ERP, sourcing, or product lifecycle management systems is a plus.

Compensation & Benefits
- Salary Range: $55,000 – $70,000 annually, based on experience and qualifications
